ABM Industries Operations Support Specialist in Austin, Texas

Overview

The individual in this role will be responsible for performing a variety of financial administrative tasks, including managing and updating records, processing invoices, and tracking transactions. They will also be preparing and processing transactions, reviewing financial documents and interacting with customers, vendors, and internal staff to resolve any problems or queries.

Essential Functions:

  • Process billing, invoices, receipts, and other documents.

  • Ensures proper documents and approvals are provided for each billing submission.

  • Review and validate billing to client contract.

  • Submit required information for new vendors and subcontractors to ESC for setup.

  • Assist with collections for branch.

  • Assist with account reconciliations.

  • Assist with company and client audits.

  • Correspond with customers, vendor, field personnel, and shared services.

  • Create, submit, and approve tags in Corrigo.

  • Identify and prepare monthly reclasses, accruals within company set deadlines.

  • Review P&Ls for accuracy.

  • Maintain high accuracy level on all data entry.

  • Communicate any discrepancies to Finance Manager

  • Prioritize based on the team and department needs; multitasks and meet deadlines.

  • Adapt to the day-to-day and unexpected situations.

  • Strong organizational and problem-solving skills.

  • Respond to inquiries and complaints from external and internal sources.

  • Respond to inquiries by telephone or in writing; refers complex problems for solution.

  • Complete company required training within set deadlines.

  • Attend team meetings, phone conferences, and training as needed.

  • Consistent, regular, punctual attendance as scheduled is an essential responsibility of this position.

  • Assist with other accounting task as assigned by the Finance Manager.

Required Qualifications:

Education:

  • High school diploma, GED, or equivalent experience.

Experience:

  • 3 - 5 years of experience

Other:

  • Strong working knowledge of Excel and other Microsoft Office products.

  • Know, understand, and follow governmental regulations, teammate guidelines, and all other ABM policies.

  • Must possess a professional, proactive, enthusiastic attitude and complete assigned tasks with minimal supervision

  • Comfortable with routinely shifting demands.

  • Working knowledge of general office equipment.

  • Ability to prioritize projects and execute and deliver key objectives in a timely manner.

  • Ability to work independently in a fast-paced, dynamic, results-oriented environment.

  • Meticulous attention to detail, self-motivated, and the ability to maintain confidentiality.

  • Knowledge of JD Edwards and Oracle a plus.

  • Must be a quick learner and can adapt to a fast-paced environment.

  • Must possess attention to detail and be organized to be successful in this role.

  • Capable of handling multiple tasks, prioritizing work, and meeting strict deadlines.

Experience:

  • Experience in AR & AP preferred.
