TEXAS SCHOOL FOR THE DEAF Medical Support Specialist in Austin, Texas

TERMS OF EMPLOYMENT

Length of position: 204 days

Hours: 7:30 am-4:30 pm (possibility of varied hours)

SUMMARY

The Medical Support Specialist plays a key role in assisting school nursing personnel by carrying out standard health-related tasks and clerical duties under the direction of the school nurse. This position is essential for supporting the health and wellness needs of students and staff. Responsibilities include coordinating COVID-19 and infectious disease protocols, conducting screenings, maintaining health records and archival systems, assisting with infection control efforts, and documenting SHARS/Medicaid services. Works under general supervision with moderate latitude for the use of initiative and independent judgment.

ESSENTIAL FUNCTIONS

  • Provide basic patient care activities for students, ensuring comfort and safety, under the supervision of a Registered Nurse (RN).
  • Conduct routine monitoring of students, including measuring and recording vital signs, height, and weight, while assisting with medical and psychiatric clinic operations.
  • Coordinate district-level COVID-19 screening and testing efforts, including scheduling testers, preparing materials for screenings, and accurately documenting results.
  • Actively participate as a member of the member of the infectious disease testingand Infection Control Teams to implement best practices and respond to health concerns.
  • Support contact tracing efforts by collecting data and keeping affected parties informed to ensure compliance with established health guidelines.
  • Maintain an up-to-date inventory of all infectious disease testing supplies and materials, ensuring that necessary resources are readily available for health services.
  • Assist in tracking and organizing vaccine clinics and the vaccination process for staff and students.
  • Provide support for various virus mitigation strategies, adapting to evolving health recommendations and district policies.
  • Aid in the implementation of the Frontline EHR system by assisting with data entry, scanning, and training staff to ensure efficient use of the system.
  • Collaborate with the Director and nursing staff to establish documentation standards and compliance guidelines related to health services.
  • Assist the district in data entry for SHARS documentation through the EHR system to comply with updated reporting requirements.
  • Supervise students in the health center until their parents or guardians arrive.
  • Coordinate and provide support by accompanying them to urgent and emergency facilities.
  • Communicate effectively with parents or guardians regarding the health status of sick children.
  • Support the school nurse in organizing health assemblies and training sessions for staff and students on first aid and safety practices.
  • Maintain confidentiality of health records, ensuring compliance with privacy regulations and district policies.
  • Oversee the setup and maintenance of health treatment rooms, preparing them for clinics.
  • Collaborate with nursing and administrative staff to ensure seamless operations within the health center.
  • Sort, distribute, retrieve, and deliver mail and other documents; pick up packages at the warehouse as needed.
  • Work closely with the Director, Administrative Assistant, and Safety Compliance Officer to develop and implement campus emergency and safety protocols.
  • Conduct monthly inventory assessments of medical, office, and kitchen supplies; ensure that the refrigerator and nursing areas are stocked appropriately.
  • Perform other duties as assigned.

QUALIFICATIONS REQUIRED

  • Graduation from a standard senior high school or equivalent certificate.
  • Minimum of 2 years successful administrative assistant or related work experience.
  • Computer literate, preferably knowledgeable in Microsoft Office (Word, Excel, Powerpoint).
  • Sign Language: At hire, the applicant must have sign language skills equivalent to a Sign Language Proficiency Interview (SLPI) level of INTERMEDIATE. When applying, the applicant must submit documentation that the applicant believes substantiates that the applicant has achieved the proficiency level required at hire.

QUALIFCATIONS DESIRED

  • Experience as a certified Medical Assistant or ability to become trained/certified.
  • Experience in managing data and electronic records.
  • Experience using Microsoft Office and other database systems
  • Appropriate knowledge and skill in the area of education terminology, general office practices, spelling, grammar, record keeping, filing, and telecommunications.
  • CPR/First Aid Training or ability to become trained/certified.
  • Able and willing to work overtime when necessary.
