Vista Equity Partners Management, LLC Executive Assistant in Austin, Texas

The Executive Assistant will be responsible for providing high-level administrative support to senior level executives within the company, including but not limited to managing his/her schedule, travel, and expenses. This position requires that you are highly organized, pragmatic, can multi-task, are not easily overwhelmed, and are comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors and candidates in a fast-paced environment. The Executive Assistant maintains and protects highly confidential corporate information, is the first point of contact both internally and externally, and works independently with minimal supervision or direction.

  • Manage and coordinate logistics for meetings, events, and travel for executives supported and when necessary, members of their team.

  • Ensure supported executives are prepared with all materials and information for meeting, events, and travel by compiling itineraries, reports and/or presentations.

  • Prepare expense reports utilizing Concur.

  • 7+ years administrative support experience within a fast-paced professional environment. Private equity, investment banking, law firm or professional services experience preferred; C-Suite experience a plus.

  • Proactive and pragmatic, considers all scenarios, gathers all pertinent information before communicating.

  • Executes processes and procedures flawlessly with impeccable attention to detail, follow up and organizational skills.

  • Approaches all tasks with a focus on quality and high level of service and speed.

  • Resourceful and nimble with a strong sense of urgency.

  • Ability to function professionally under pressure, while managing multiple concurrent projects and deadlines.

  • Contributes ideas to drive process improvement and innovation.

  • Must possess personal tact and good judgment, engaging the right partners for the best outcome.

  • Excellent interpersonal, written and verbal communication skills.

  • Ability to treat sensitive and confidential information with appropriate discretion.

  • Proficiency in Microsoft Office, including Outlook, Word, and Excel; PowerPoint and/or Salesforce a plus

  • Occasional after-hours work may be required.

  • Bachelor’s degree preferred.
