Event and Program Management:Plan, oversee, coordinate, and manage large-scale, college-wide events for the College of Liberal Arts including but not limited to: Student Affairs events (Gone to COLA, State of the College Address, Family Weekend, Explore UT, Honors Day, Deans Distinguished Graduates Reception, College of Liberal Arts Commencement(s)), Public Affairs events (Book Fair, Civil Discourse Symposium), Organizational Culture events ( COLA staff and faculty holiday parties, College-wide faculty, staff, and/or student appreciation and recognition events, Community-building events) and other events suggested by College leadership. Coordinate event logistics, including: scheduling events, ordering catering and supplies, making facilities and room reservations, hiring vendors, selecting promotional items, recruiting and supervising volunteers. Coordinating event calendar ensuring minimal conflict with other college, university, and city events and taking into account school district calendars and religious holidays that would prevent college stakeholders from participating. Anticipate, plan for, and mitigate risks associated with each event. Manage event communications with College stakeholders, including students, staff, faculty, and parents. Plan, propose and maintain program and event budgets. Run reports and research event-related transactions. Complete financial and business processes to ensure payments for all vendors, and any event expenses incurred. Develop and distribute regular College events newsletter, in collaboration with COLA Public Affairs.Collaboration:Work collaboratively with other Dean's Office teams including Student Affairs, Public Affairs, Development and Career Services to design and plan events. Coordinate communication and event plans with COLA Public Affairs and other units related to each event. Schedule and facilitate regular event-planning meetings with other COLA and UT teams. Communicate regularly with college leadership about event schedules, logistics, and needs. Engage in regular, in-depth communication with staff, faculty and students planning and implementing other college events to provide support, consistency of messaging, and coordination of calendars and resources (e.g., wellness lab events, faculty affairs events, etc.). Support the implementation of smaller-scale COLA events as needed.Conduct collaborative after-action meetings of college-wide events to discuss lessons learned and plan for future event enhancements and improvements. Work collaboratively with UT Events to plan commencement and other large-scale, campus-wide events. Work with and consult COLA departments and units as needed in order to design and implement college-wide events. Serve as a consultant to COLA departments to provide guidance and share best practices as departments create and implement their own events/programs.Administrative:Partner with other administrative staff in the Dean's Office to process event business processes and documents as needed. Supervise student interns as needed. Primary contact for ordering and distribution of College of Liberal Arts branded supplies.Other related functions as assigned
