Job Summary:
The Office Services Site Manager is responsible for managing a team of 3 people in navigating day to day office services activities related to mailroom, shipping/receiving, reprographics, hospitality, and facilities support in a campus setting. This is a hands on role which requires working knowledge of office support services, along with leadership qualities such as excellent verbal and written communication, problem solving, and a proactive result driven demeanor.
Responsibilities:
Serves as the main point of contact for all activities related to the mail room, shipping/receiving, reprographics and facilities support.
Conduct regular client meetings and quarterly business reviews, focusing on key service deliverables, metrics, and escalations.
Manage scheduling, and payroll for direct reports.
Respond to requests in a timely manner and extend outstanding customer service to all internal/external customers and clients.
Oversee audit reports and provide regular updates to client following through chain of custody procedures as established.
Submit JIRA tickets for unclaimed packages and follow through to completion.
Manage credit, cash, and check transactions. Reconcile records and submit payments to clients’ accounting personnel.
Maintain a non-CDL box truck by ensuring safety, service coordination, fuel and mileage reports.
Oversee office and print inventory and establish par levels based on usage and set budget.
Facilitate print production requests for posters, binder, flyers, booklets etc.
Explore new technology options to further enhance service offering.
Maintain records of metrics of all office services activities.
Maintain documented procedures for all processes and responsibilities.
Spearhead team meetings, including safety training.
Manage on-going cross training and overall professional development of employees.
Assists with administrative tasks and other duties as assigned.
Qualifications and Skills:
High school diploma or equivalent (GED); college experience a plus
Prior management experience
Proven customer service-related experience
Proficient computer skills including MS Office 365 and willingness to learn new technology
Excellent communication skills both written and verbal
Ability to effectively work both individually and in a team environment
Willingness to embrace and perform continuous training and professional educational programs.
Team Building, coaching and mentoring.
Promotes inclusivity and creates an environment where everyone feels valued.
Prior mailroom and copy center knowledge a plus.
Prior catering experience a plus.
Ability to lift up to 40 pounds.
