POSITION OVERVIEW:The Texas Education Agency (TEA) oversees the primary and secondary education of more than five million students in Texas public schools by providing leadership, guidance, and support to school systems. Well-equipped agency employees are critical to ensuring local school districts, superintendents, and teachers are supported to ensure the Agency's Strategic Plan achieves our vision of preparing public school students in Texas for success in college, career, or the military. The Asset and Inventory Specialist provides highly advanced supply management support and technical assistance. The work involves conducting and coordinating agency support functions, which include property and asset management, inventory and receiving, loss prevention measures and controls, security, and building infrastructure. The responsibilities for this role include disseminating information, maintaining files, owning the operation of inventory systems, developing operational reports, and providing general support as a member of the Agency Services team. The Inventory and Asset Specialist performs other duties as assigned and may train others. This role works under limited supervision, with considerable latitude for initiative and independent judgment. This role will report to the Facilities and Operations Manager in the Agency Services unit within the Division of Agency Operations. ESSENTIAL FUNCTIONS:Job duties are not limited to the essential functions mentioned below. You may perform other functions as assigned. 1. Supply, Receiving and Inventory Operations: coordinates all supplies and assets, including but not limited to tools, hardware, safety equipment, security badges, office equipment, and furniture; primary receiver for all agency-owned assets and supplies; verifies and receives all assets and supplies within the inventory system according to the purchase orders placed by the purchasing team and works with staff to verify receipt; coordinates and reconciles monthly chargebacks for all supply "sales" to agency departments alongside accounting staff; coordinates store and internal supply operations delivery, including stocking and issuing materials, equipment, or other agency-owned inventory; conducts periodic and annual inventory activities2. Asset Management: assists with the maintenance, inventory, and certification of state property; coordinates the transfer or disposal of agency-owned assets in accordance with state property accounting requirements and system; coordinates pickup and destruction of confidential documents3. Inventory and A set Management Procedures and Compliance: analyzes internal inventory and asset management processes, providing technical assistance and recommendations, and implements agency-wide process changes around asset management and supply purchases; conducts periodic inventory compliance checks and is the division lead for inventory and supply system upgrades and testing activities; reconciles inventory records with asset accounting records and resolves inventory-reporting discrepancies4. Facility and Building Related Technical Assistance: assists with the operations and maintenance of the agency operations and facilities processes; facilitate equipment and staff relocations and leads others in providing move assistance throughout the agency; may assist with setting up conference rooms for the State Board of Education, State Board for Educator Certification, and other internal agencywide meetings; assists other agency operations teams to meet deadlines Qualifications: MINIMUM QUALIFICATIONS: Education: High School Diploma or GED Required Licenses: Must possess and maintain a valid class C Texas drivers license. Experience: At least two (2) years of experience in progressively responsible inventory management, stock, asset control, and related record-keeping. OTHER QUALIFICATIONS: Share the belief that all Texas students can achieve at high levels and are able to succeed in college, career, or the military. Experience using the Asset Management, Inventory and/or Purchasing modules in the Centralize Accounting and Payroll/Personnel System (CAPPS) is highly preferred. Knowledge and experience implementing processes and procedures that comply with state and federal requirements for receiving, inventory, asset management, stock control, record keeping, retail practices; and cost management. Experience in fleet management, modular furniture, upkeep, and maintenance of facility-related equipment; basic accounting, data entry, filing, preparation of correspondence and reports; customer service or other related duties. Ability to work hours other than 8 to 5. May occasionally be required to work weekends and holidays. Ability to perform manual labor, including lifting supplies and materials, including boxes, furniture, modular furniture components, and other office equipment. Skills using a computer and applicable software applications like Microsoft 365 (TEAMS, Outlook, Word, Excel, etc.). Ability to work independently and as a team member with a proven ability to establish and maintain effective work relationships with co-workers and a wide range of work-related contacts. Ability to effectively plan and complete multiple tasks while meeting expected deadlines. Ability to identify rules, principles, or relationships that explain facts, data, or other information; and to analyze information, make correct inferences, and draw accurate conclusions.
