Draft, review, route, and document gift agreements between donors and the University, working primarily from standard University templates. Work on multiple documents in various stages simultaneously and track their status and required actions. Provide edits and recommendations for gift agreements in a timely fashion (generally within one business day). Ensure that gift agreements include all required template language, are in compliance with University and federal regulations, and clearly document donor intent (clarify intent when language is ambiguous).Follow up with campus-wide gift officers and support staff to confirm completion and proper documentation of agreements and gifts.Utilize Filemaker Pro, VIP, DocuSign, Box, and other UT and UT System resources to document, track, route, and research endowments, donors, and gift information.Understand and continue developing knowledge on policies, procedures and unique issues related to endowments and gift agreements. Over time, become a subject matter expert on endowments and agreements.Assist in the review and development of University policies and procedures related to gift agreements. Identify methods for streamlining policies and procedures and enhancing efforts.Regularly compose and route correspondence to internal and external constituencies, including memos and letters.Advise and train University development staff on processes, procedures, and services related to gift agreements and endowments, and assist with resolving policy or procedure related issues or questions.Build strong, collaborative, and friendly relationships with team members and colleagues across campus.Participate in meetings related to the development of the new CRM that will replace VIP over the next year.Assist the Endowment Services team in various tasks and projects, which may include creating accurate database records and files, entering endowment information into the UT System portal, reviewing gift reports or databases to check on endowment status, research existing endowments for funding or criteria questions, archiving and maintaining documents/files, pulling reports, and additional short- or long-term duties as assigned.Assist as back up to temporarily cover tasks while other team members are out on vacation or other leave.It is expected that the position will initially involve a higher percentage of non-agreement work as the employee is in the longer training period expected for this position, and that the ratio of non-agreement-to-agreement work will shift as the employee gains the knowledge to take on more complicated agreements. Flexibility will be required during the training period, to meet shifting team needs and to utilize the employees particular skills and interests.
