Job/Position DescriptionPerforms highly complex (senior-level) administrative support work. Assists accounting staff in maintaining the financial records of the agency.Work involves providing and coordinating internal administrative support including disseminating information, uploading financial records into the agencyand#146;s CAPPS Financial system, developing filing systems, and preparing and editing reports and documents.Assists in the retrieval of records from CAPPS Financials and WebDrawer to assist with audit documentation. May provide guidance to others concerning records storage and retrieval. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment.Essential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.Responsible for scanning financial related documents. (40%)Uploading scanned documents in CAPPS Financial. (20%)Responsible for monitoring the Client Expenditures mailbox and distribute correspondence. (20%)Assist in answering the Payment Inquiry Hotline to assist and route calls. (10%)Serve as backup to monitor the Accounts Payable Level 1 Support mailbox. (5%)Take meeting notes. (5%)May provide guidance to other. Registrations, Licensure Requirements or CertificationsN/AKnowledge Skills AbilitiesKnowledge of office practices and administrative procedures. Skill in the use of standard office equipment and software. Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to provide guidance to others.Initial Screening CriteriaExperience in administrative support work. Graduation from a standard senior high school or equivalent.
