Apply now to join our team.Administrative Assistant IV position will answer to the Dir. of Psychology by facilitating the tasks as administrative support such as tracking 46B and C commitments, maintain open lines of communication with courts, provide reminders to evaluators of due dates for evaluations, maintain Medical Records of clients. Provide upkeep and testing materials for the testing library. Track forms and documentation submitted to courts. This Administrative Assistant IV will also assist in our facilities COOP activation needs.Essential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. 1) Track deadlines and due dates for 46B and 46C commitment expirations, and competency evaluations or extension letters, and provide timely reminders to treatment teams of the need for extension letters and/or referrals for competency evaluations and risk assessments. Ensure all documents go to the appropriate court.2) Maintain and frequently update court contact spreadsheet information by continuing an open dialogue with all contacts. 3) Provide each evaluator with a listing of evaluations due and time frames needed to complete.4) Work directly with the medical records dept. to enter and disseminate documentation regarding each client being evaluated by psychologists for forwarding to the courts. 5) Administratively oversee the psychological testing service by tracking materials needed for testing and retaining all documents including a hard copy of test results for all clients6) Collect completed competency evaluation reports from psychologists and obtain required superintendent signatures for all correspondence with the court7) Collect civil commitment forms from physicians for forensic clients, assist with scheduling 2nd PCME evals in time for the evaluation due date, scan or file hard copy civil forms 9) Serves as an active participant on the administrative team in ensuring that support and infrastructure exists and operates efficiently. Examples of duties include: ordering psychological testing materials, submitting work order requests, providing temporary assistance/support to staff other than those usually assigned in order to ensure adequate coverage, and training and mentoring other administrative personnel.8) Performs other duties as assigned. Other duties as assigned may include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
