JOB NUMBER: 25-010-1465 CLOSING DATE: Open until filled STARTING SALARY RANGE: $31,764- $35,734 annually, plus excellent benefits POSITION TITLE: Administrative Assistant II DEPARTMENT: Chief Disciplinary Counsel -Austin, TX

GENERAL DESCRIPTION: Provides a variety of administrative support services in the Office of Chief Disciplinary Counsel. This position involves the accurate and timely handling of a high volume of confidential data in a deadline-driven environment. The position requires frequent contact and interaction with all employees in the department and other departments in the organization. Works under the general supervision of and reports to the Office Manager.

PRIMARY FUNCTIONS: 1. Sorts and timely distributes all incoming physical mail; maintains necessary records of certified mail and packages; and may assist with preparing outgoing mail and packages. 2. Prepares and scans grievances and grievance-related supporting documentation into the designated grievance database. 3. Assists with responding to written and telephone inquiries and requests for information in connection with the grievance process and attorney discipline history. 4. Assists with the destruction of documents in strict accordance with the organizations retention schedule. 5. Performs data entry and maintains various database logs of incoming and outgoing information. Assures accurate database entries made in case management system. 6. Assists with special projects as needed. 7. Performs other duties as assigned.

POSITION REQUIREMENTS: High school education or equivalent required. A minimum of two years of related work experience required. Must be able to maintain confidentiality of privileged, confidential or sensitive data. Requires attention to detail, critical thinking, and the ability to perform responsibilities with minimal supervision. Requires the ability to meet the demands of a high volume of work that is deadline-driven. Must possess effective writing and oral communication skills. Requires technological competency, including proficiency in Microsoft Word, Adobe Pro, Zoom, Teams, and Outlook Express. Experience using case management software preferred. Must be able to communicate effectively, coordinate workflow, and work well with others, Bilingual in Spanish speaking helpful.
