AT&T Hotel & Conference Center Administrative Assistant (Banquet Department) in Austin, Texas

Principle Responsibilities & Position Purpose:
This role is directly part of the BANQUETS team in the hotel and working under Banquet Managers and Director of Banquets.
Performs administrative and general office work up to relieve management staff of administrative or clerical detail. Assists in carrying out the responsibilities of the department head as directed

ESSENTIAL FUNCTIONS
Ability to communicate effectively in written format and oral presentations
Ability to multi-tasks and establish priorities
Ability to maintain organization in a changing environment
Exhibits initiative, responsibility, flexibility and leadership
Possess a thorough knowledge of contract administration and office procedures
Ability to use working knowledge of working environment to meet established goals and objectives
Make appointments; screen visitors and telephone calls; read and route incoming mail; locate and attach appropriate file or record to correspondence to be answered to by department head; and compose and route routine correspondence, files and records.
Prepare confidential reports including periodic statistical reports, attend staff meetings and record minutes.
Greet and escort visitors and give routine information, within the policy of the facility
Operate a variety of office machines
Use judgment in handling complex clerical problems. Perform a variety of clerical duties such as preparing, maintaining, comparing, checking and filing miscellaneous statements, tabulations and reports
May maintain attendance records.
May serve as receptionist for department work area.
Receive data on various phases of facility operations, checking data for accuracy and completeness.
Classifies and summarizes data according to pre-determined categories
May prepare summaries in written or typed form.
Perform other clerical duties incidental to the operation of the department
Computer skills, fill out various computer-generated forms and documents necessary in the operation of the department
SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the company.
Maintain an open line of communication between guests, employees and management
Assist office in any other administrative duties as needed
Other duties as assigned
OTHER DUTIES
Assimilate into The FLIK Platinum Service culture through understanding, supporting and participating in all elements of FLIK Platinum Service. Demonstrate working knowledge of the service standards.
Regular attendance in conformance with the standards, which may be established by Flik from time to time, is essential to the successful performance of this position.

Team members will be trained in the proper use and care of assigned PPE. The hotel provides the required PPE. It is your responsibility to report defective, damaged, or lost PPE, or equipment that does not fit properly to your Manager.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
Proficient in the use of Windows based office software including but not limited to Ability to read, write and speak English sufficient to understand and communicate with employees and guests
Knowledge of computers and typing skills
HIGHLY PREFERRED TO KNOW: Microsoft Office (Excel, Outlook), Sales Force/ Delphi
Basics in payroll processing
EDUCATION
High school diploma or GED equivalency preferred.
EXPERIENCE
Minimum of two years Administrative Assistant experience. Prior hotel experience a PLUS.
OTHER
Must be detail oriented and a team player. Bilingual is highly preferred (EN/SP).
