Job Summary:

Key Responsibilities:

Financial Management – 60%

  • All financial management activities are under the overall direction of the Executive Director who has overall responsibility for center funds. The Center AD serves as the Fund Administrator and overall approving official. Within these parameters, the Center AD:

  • Manages all funds of the center including clinical, grants and contracts funds. Also manages the financial aspects of center operations and staffing, faculty recruitment, investment analysis and other short- and long-term planning functions. The transplant center is one of the largest in the country, boasting almost 600 adult and pediatric transplants annually.

  • Manages clinical revenues for approximately 70 faculty members at the center, partnering with departments and divisions and their revenue cycle processes and reviews where appropriate.

  • Manages research budget and staff in collaboration with the Center Deputy Director, who provides scientific advisement and oversight for faculty.

  • Prepares budgets, controls and monitors revenue and expenditure activity for each source of funds. Budgeting financial management occurs in multiple fiscal systems including the state, CU Medicine and multiple hospitals and other entities, including UCH and others. Partners and coordinates with member departments and divisions as needed.

  • Prepares UCH funds flow proformas and manages all hospital support received.

  • Utilizes standard University and CU Medicine systems for accounting, data processing and other computer systems as necessary for financial management and statistical reporting.

  • Prepares faculty salary data and sources of funds for annual salary recommendation/labor planning process. Coordinates with member departments and division throughout the process as needed.

  • Administers the flow of administrative, financial and workload statistical data and reporting for the Center.

  • Coordinates Center purchasing activities, including delegation of purchasing responsibilities and adherence to purchasing policy. Maintains familiarity and skill level for multiple procurement systems, including state, CU Medicine, and relevant hospitals.

  • Administers the Center faculty incentive plan. Completes incentive calculations and processes paperwork necessary for payout. Coordinates with departments/divisions on payouts as needed.

Policy Coordination – 10%

  • Administers pertinent State, University, campus, School of Medicine & CU Medicine policies, rules and procedures, and applicable State and Federal laws and standards applying to business management (personnel, accounting, auditing, etc.)

  • Administers pertinent practice plan or CU Medicine fiscal policies, including complex federal and other regulations governing physician practices, patient care and billing and collection (as well as personnel, accounting, auditing, etc.)

  • Coordinates fiscal policies related to faculty needs and practice site locations including policies and rules for UCH and others.

  • Attends Center meetings as requested by the program director, CUSOM meetings, and may be the coordinator of Center faculty and staff or other meetings.

Faculty Affairs & Personnel – 10%

  • Coordinates the secondary appointment of all faculty in the Center with their primary department/division.

  • Responsible for evaluating and making recommendations for the appropriate levels of staffing for area of responsibility. Staffing levels should support a highly efficient and productive work environment for all staff.

  • Manage the administrative staff supporting the initiatives of the Center.

  • Coordinates staff personnel matters for the Center, including position establishment, recruitment, affirmative action, hiring and supervision of staff, performance planning and appraisal, and termination processes.

  • Processes a variety of personnel forms in multiple personnel systems and conducts required processes in PeopleSoft/HCM or other systems. Maintains appropriate personnel records (e.g. vacation, sick leave, grievances, audits). Monitors the performance evaluation activities for all support staff to include implementation and maintenance of the performance planning/appraisal program.

  • Facilitates and promotes staff development and training classes, and provides orientation to faculty and staff as needed.

Administration & Planning – 20%

  • Participates in planning activities for the Center, including long-range and short-range planning. Shares responsibility for projection of programs, patient/client census, revenues and expenses, and personnel needs.

  • Engages in physician relations and marketing initiatives as needed

  • Responsible for the operational execution, implementation and tracking of the Center strategic plan.

  • Develop overarching business analytics for the Center.

Minimum Qualifications:

Applicants must meet minimum qualifications at the time of hire.

  • A bachelor's degree in business, business administration, finance, healthcare administration, public administration, or a directly related field from an accredited institution.

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

  • Minimum of five (5) years professional level business management experience within a complex health care, biomedical research, or government setting.

  • Minimum three (3) years personnel management with at least 3 direct reports

  • Minimum three (3) years policy implementation experience

Preferred Qualifications:

  • Seven (7) or more years of business management experience covering multiple aspects of an organization to include: financial management, business proforma development, human resources, strategic planning and administration.

  • Five (5) or more years of experience successfully developing infrastructure, policies, procedures and staffing models.

  • Demonstrated experience working with a transplant service line in an academic setting.

  • Broad and diversified professional management experience preferably in an academic medical center or government environment

  • Strong financial management and analytical skills.

  • Ability to communicate effectively, both in writing and orally.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

The Center, located on the Anschutz Medical Campus, is made up of faculty members from the Department of Medicine, Department of Surgery—with more departments to be added as the center develops—all coming together to provide outstanding clinical care, provide training and education, and conduct transplant related research. The Center AD has primary oversight and responsibility for the administrative and financial components of the Center clinical funds flow, faculty membership, education and training activities, and research support, including basic, clinical, transitional, and outcomes research programs. The Center Administrative Director supports the executive leadership team with development and execution of the Center strategic plan and center policies and procedures. The Center AD serves as the administrative liaison between the center and the member's primary department and division.
