Job Summary:

Key Responsibilities:

  • Provide administrative support to the Vice Chair and Associate Vice Chair for Research. This includes coordinating the overall management of the Research VC's daily, monthly, and annual schedules, to include setting priorities, determining access, scheduling and arranging meetings, setting and confirming appointments.

  • Arrangement and support of travel arrangements, expense reports, and reimbursements for faculty and staff supported.

  • Provide administrative support for the department's research mission area with tasks such as organization related to the monthly department research meetings, participating in, and contributing to the research administration team, coordinating events and needs of the research area.

  • Handle all budgetary arrangements for various functions and events, with budgets of $5-15K per occurrence. Responsible for the use of an employer issued procurement card.

  • Process reimbursements and invoices, scopes of work, standing purchase orders through Marketplace and other University forms to support payment to external consultants and entities.

  • Manage and approve conference room reservations for 3 rd floor Academic Office One DFM conference rooms and other locations on campus.

  • Support research faculty with publications such as referencing, formatting, mild editing and submitting to journals, as well as updating CVs and federal biosketches.

Qualifications:

Minimum Qualifications:

  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

  • One (1) year of professional level experience in business administration or operations.

  • Two (2) years of professional level experience in business administration or operations.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Three (3) or more years of professional level experience in business administration or operations.

  • Administrative support experience in higher education, medical school or health sciences setting.
