The Neurology Education Coordinator is responsible for managing the department’s Medical Student programs and educational courses, conferences, and events. She/he will manage the day-to-day operations of the various educational programs, accreditation efforts, course programming, and will serve as an important liaison with learners, faculty and staff. This position will serve as the subject matter expert for Medical Student Education and will be expected to utilize knowledge, expertise and best practices in the design and successful operation of courses and clinic experiences that support the department’s mission of providing high quality educational programs.

The position is located at the University of Colorado - Anschutz Medical Campus . Hours will be dependent on business need (i.e., neurology education operations and workforce needs). Examples of Work Performed

Duties and responsibilities of this position include, but are not limited to the following:

Medical Student Program Operations:

  • Implement, and manage full cycle operations Neurology Medical Student Programs, including the Neurology clerkship, the Neurology 4 th year electives, Neurology Visiting Rotations, the Advanced Neuroscience Clinical Course and Neurology Medical Student Interest Group

  • Collaborate with various key stakeholders (i.e., Clerkship Directors, clinical faculty, affiliated clinical sites), to ensure optimal design, implementation, coordination, , and development of medical student education.

  • Maintain timely and up-to-date enrollment and student information for clerkship in OASIS, Canvas, myClinicalExchange and NBME and oversee any updates to the medical student website section.

  • Coordinate logistics with affiliate hospital staff, Coordinate medical student onboarding (i.e., badging, security access, all orientations, schedules)

  • Provide primary support for the Medical Student Directors in all matters relating to the clerkship and neuroscience course This position will help identify program and student issues and communication those to appropriate stakeholders.

  • Working with the Clerkship Directors, recruit faculty for clerkship teaching and ensure retention.

  • Serve as an advisor to medical students on course requirements and expectations.

  • Coordinate student formative and summative evaluation program.

  • Participate in departmental, institutional, community, or national meetings as ongoing professional development, and remain informed about current academic trends.

  • Regularly communicate with directors at other sites concerning schedules, course requirements and evaluations, and other student and faculty issues.

  • Aid in the construction and track the submission of letters of recommendation for medical students, coordinating with the respective faculty and their administrative support.

  • Administer pertinent SOM and LCME policies, state fiscal policies, School of Medicine rules and procedures, and state/federal laws and standards applicable to the program.

  • Tracks faculty contributions to medical student education, including but not limited to SOM courses, PBLS, Neurology Student Interest Group events, Foundations of Doctoring, and other medical student educational activities for annual reporting.

  • Manage files of medical students in departmental courses and submit grades for all Neurology medical student courses in accordance with SOM rules and regulations.

  • Prepares reports for the department or others, such as LCME studies, program reviews, annual reports, newsletters, retreats, audits or other, as requested.

  • This position will serve as a neurology education representative at various department and external meetings (i.e., committee and grading meetings, department meetings) and coordinates all of department medical student-related meetings and functions.

  • Participate and contribute to medical education curriculum decisions, including IRB studies, monthly strategic planning meetings, and the design of workshops and eLearning modules.

  • Attend monthly UME Coordinator meetings and Course Block Director Meetings.

Sub-internship and MS3-4 Electives Coordination

  • Advise third- and fourth-year medical students and visiting students regarding elective program offerings.

  • Manage and develop resources for students regarding elective programs including website, online learning modules, and textbooks.

  • Manage Visiting Student Application Service (VSAS) process and review applications from outside students, write notes of acceptance, process.

  • Ensure that sub-internship directors understand student schedules, policies, attendance, make up work, grades, etc.

  • Orient both CUSOM and visiting students during the rotation. Manage and set up the Oasis evaluation system for students, faculty, and residents. Manage student files and prepare them for director to assign grades. File grades with the University as well as with outside institutions.

  • Organize and maintain feedback mechanisms on each student by assigning preceptors, sending reminders and follow-up to ensure timeliness. Gather and summate feedback for directors and MSPE.

  • Support directors and analyze program evaluations, low evaluation or exam scores and concerns raised at exit interviews.

  • Assist directors with agenda for medical education program meetings.

  • Implement improvement plans, ensuring the program follows SOM and LCME policies and requirements. Produce reports as needed.

Event Coordination:

  • Coordinates, develops, analyzes, and evaluates department education conferences and educational events (i.e., Neurology Grand Rounds, department-wide CME events, and other assigned Department educational conferences

  • Manages and develops various event logistics (i.e., design and create promotional materials, invitations, CME materials, and other needed collateral; schedule room reservations; develop event scheduling; recruit event speakers; order catering; coordinate travel procurement; manage event participation attendance and reporting; and manage audiovisual set-up and troubleshoot, etc.)

  • Manage and develop the CME credit database and online reporting system for all events. Maintains and reports CME accreditation documentation including quarterly and bi-annual accreditation application.

  • Provide for on-site or virtual support for each activity including tracking attendance/participation, distribution and collection of evaluation feedback, acknowledgement of faculty and planning committee disclosure and of commercial support.

  • Summarize evaluations of CME activities and distribute to applicable parties for review.

  • Develop budgets based on the audience size, honorariums, venue, food, beverage, invitations, postage, posters, travel expenses for out-of-town speakers and any other associated costs. This will include researching available venues, caterers, printers etc. for pricing.

  • Other duties as assigned.

Salary and Benefits:

The salary range for this position has been established at $43,064 - $63,000. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

  • Ability to represent departmental activities, issues, and concerns, and communicate committee decisions back to directors and education manager.

Minimum Qualifications:

  • Bachelor’s degree from an accredited college or university in communications, public relations, business administration, healthcare administration, or another related field.

  • Two years of professional level experience working in academic medicine

  • Experience working with Medical Student Programs or Post-Graduate Medical Education Programs

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis, but not for the specific experience.

Preferred Qualifications:

  • Two years of professional level experience working with Medical Student Programs or Post-Graduate Medical Education
