FirstService Residential Administrative Assistant in Auburn, Pennsylvania

Job Overview:Â Â

AsanAdministrative Assistant,you’llbe responsible forassistingto the administration and coordination ofall oftheday-to-day operations of an assigned Community Association including handling customer service functionandmaintainingcommunication with Board of Trustees and homeowners.Â

Schedule:

Monday- 8:00 am - 4:30 pm

Tuesday- 8:00 am - 4:30 pm

Wednesday-Â 8:00 am - 12:00 pm

Thursday- 8:00 am - 4:30 pm

Friday- 8:00 am - 4:30 pm

Saturday-8:00 am - 12:00 pm

Every Saturday April-August

First Saturday of the month September-March

Your Responsibilities:Â Â

  • Provide a friendly and welcoming atmosphere when residents and guests visit the Athletic Center. Greet everyone that comes in whether it be to work out or ask questions.ÂÂ
  • Answer the phone calls of residents and vendors at the front deskÂ
  • Set up new residents with FOB access to the various amenities offered.ÂÂ
  • Assist Residents in the scheduling of Amenity Rentals, provide tours of theRental Amenities, etc.Â
  • Streamline processes and procedures for the front desk operations.ÂÂ
  • Provide Account Balance information to residents andassistwith work orders, account issues, complaints etc.Â
  • Edit homeowner work orders and information using the Connect System.Â
  • Providea range of support services tothe Property Manager, Assistant Manager, and Board of Directors. This can be, but is not limited to, reports using Excel,Powerpoint, Word,etc…Â
  • Assistin the Violations Process which may include the mailing of letters, sending emails, etc.Â
  • Process repair and maintenancerequests.ÂÂ
  • Provide excellent customer service andmaintainopen lines of communication with fellowÂassociates,homeownersand Board of TrusteesÂ
  • Have general knowledge and understanding of building systems and componentsÂ

Skills & Qualifications:Â Â

  • Minimum of 3 years business experience in an administrative capacity or related experience ÂÂ
  • Critical thinking, problem solving, judgement and decision-making abilities are necessary.ÂÂ
  • Proficiencyin computer programs like Microsoft Office, Outlook and Windowsrequired.ÂÂ
  • Ability to work with sensitive and/or confidential information.ÂÂ
