Havenwyck Hospital is seeking a dynamic and talented Lead, Admissions Coordinator to join our team of compassionate, dedicated professionals.

POSITION SUMMARY:

The Lead Admission Coordinator is responsible for the supervision of the Admission Coordinators in the daily activities of the Intake Department. Responsible for scheduling staff and monitoring the work distribution. This is a working lead position and therefore, the Lead Admission Coordinator also performs the duties of an Admission Coordinator.

JOB DUTIES / RESPONSIBILITIES:

  • Assists the Director of Assessment and Referral Services in supervising the Admission Coordinators in the daily activities of the department.

  • Assists the Director of Assessment and Referral Services in supervising and enforces all hospital policies and procedures.

  • Assists the Director of Assessment and Referral Services in the interviewing and processing the hiring of new staff.

  • Assists the Director in the training, of all new hires.

  • Responsible for the written appraisals and competencies of all staff in the department.

  • Receives supervision from the Director of Assessment and Referral Services.

  • Assists the Director of Assessment and Referral Services in supervising the staff in compliance with Staff Development and inservice programs.

  • Works a personal schedule tailored to the needs and objectives of the department and hospital.

  • Schedules staff to ensure appropriate coverage to conduct the daily activities of the department during operating hours.

  • Verification of all insurances. Documentation and understanding of eligibility, co-pays, deductibles and pre-existing terms. Distribution and explanation of such information to Intake Coordinators and others as necessary.

  • Assists with the completion of prior authorizations.

  • Supports the discharge lounge by being available for rounds and/or communicating with multidisciplinary teams for discharge needs.

  • Answers the switchboard in a highly professional manner. Directs all phone calls to the appropriate department or staff. Demonstrates the ability to assist the caller with their inquiry and ability to appropriately transfer to proper department.

  • Proficiently conducts the admission process with patients and/or families. Empathetically and knowledgeable explains each admission form to them and procures signatures. Processes all the signed forms, copies all forms and distributes them to the appropriate departments in a timely manner.

  • D ocuments in the patient’s record that they have been supplied with Patient Rights Booklet and Advance Directive information.

  • Compiles and computes accurate information regarding admissions and discharges on the daily census sheet and distributes the census to all appropriate staff and department.

  • Enters and deletes admission and discharge information onto the Hospital Computer System.

  • Maintains and updates the admission board for evaluations and appointments for admission.

  • Receives and distributes mail to appropriate mailbox. Maintains the postage machine and posts postage on all outgoing mail.

  • Maintains all equipment in the Intake area and calls for service, when appropriate. Assists hospital staff in the use of department equipment.

  • Greets the public when they arrive at the hospital and directs them to the appropriate staff and/or department.

  • Maintains accurate documents and records monies which are collected for patient accounts; collects monies from patients for their co-pays and deductibles.

  • Attains hospital mandatory training/inservices as required in a timely manner.

  • Adheres to all hospital policies and procedures.

  • Performs related duties as assigned by Director of Assessment and Referral Services.

Qualifications

  • High School Diploma required. Trade or Technical School and/or two years of college preferred.

  • One year of management experience or 3-5 years of experience in an Admissions / Intake department required.

  • Experience verifying psychiatric insurance verification preferred.

  • Two years of experience in a hospital Admissions / Intake department or related area required.

  • Phone/switchboard experience preferred.

  • Highly professional, motivated individual with a high energy level required.

  • Good interpersonal, teamwork and strong communication skills required.
