Position Summary:

As a Software Licensing Analyst/Sr Business Control Specialist, you will be responsible for daily, strategic management and control of Third Party Commercial Software and licensing platforms in order to optimize the value, cost and risk of software. Analyst will examine software license contracts, purchases and software discovery data and perform reconciliation and remediation tasks to ensure data quality, accuracy and completeness. Track, maintain and coordinate license and maintenance agreement renewals and procurement. Conduct software license and vendor research to support clients purchasing and contracting obligations.

The Analyst will work closely with subject matter experts, including product managers, technical product managers, enterprise vendor managers, systems architects and engineers to obtain critical vendor and product details required to manage software license compliancy. Analyst will perform assessments to confirm license compliancy and optimization of the Bank’s software portfolio. Overall responsibility is to study and manage vendors’ software licenses in the Bank’s software asset management tool, Flexera Network Management Suite (FNMS).

Responsibilities:

This role is responsible for performing all monitoring processes and ensuring the data is complete, accurate and validated by the technical product manager within the software compliance SOR – FNMS.

· Review and accept data updates in FNMS coming from onboarding peers

· Perform license refresh activities per the agreed to schedule

o Validate aligned contract, PO, and discovery data is valid, applicable in scope, and is complete

o Partner with Technical Product Managers and various stakeholders to clarify contract, purchase discrepancies or inadequacies

o Escalate procurement, legal or business partner concerns

o Partner with technical teams to understand business needs in support of upcoming contract renewals or terminations (ie true up activities, certifications, etc.)

o Ensure all license data and setup is thorough and correct and a compliance position can be determined

· Ability to perform analysis for assigned software portfolio at multiple levels to ensure all risks are identified and business owned controls are performing as designed. If optimization opportunities are found, notify product managers/owning teams

· Identify and validate all system triggered risks and transition to Remediation within the established SLA timeframe.

· Support all allegation or audit activities for assigned software publishers

· Support LOB requests for specific license information

· Verify aligned contract, PO, and discovery data provided is valid and applicable in scope

· Partner with Technical Product Managers and various stakeholders to clarify contract, purchase discrepancies or inadequacies

· Escalate procurement, legal or business partner concerns

· Partner with technical teams to ensure software products are discoverable and no gaps exist

· Ensure all license data and setup is thorough and correct and a compliance position can be determined

· Update existing license records in FNMS and validate accuracy of information

· Ensure identified limitations of use are validated by the business partners and to acquire controls in place

· Collect data for undiscoverable applications and specialized license metrics

· Works independently, with limited direction, and is evaluated through end results

· Has extensive functional or professional knowledge

· Interacts extensively with internal or external contacts to identify, research, analyze and resolve complex problems

Participate in driving process improvements
