Multi-Site Billing Coordinator

Job Summary:

EMCOR Services Aircond seeks a Billing Coordinator. This position is responsible for daily processing of customer invoices and addressing billing related issues in a timely manner. This position is expected to foster and maintain positive working relationships with external customers and internal partners. The Billing Coordinator’s goals are to meet and exceed billing targets to satisfy company DSO and cash flow objectives.

Essential Duties and Responsibilities:

  • Review completed work orders in the Coins OA system.

  • Audit and verify quotes, mark-ups, and labor and material cost against work orders.

  • Work with technicians and District Service Managers to verify questionable charges.

  • Identify and communicate higher/lower than expected margins to management.

  • Produce customer invoices timely and accurately.

  • Reconcile billing data with 3 rd party customer work order portals.

  • Interact with internal and external customers to resolve billing issues.

  • Maintain billing schedules and customer profiles to meet customer needs.

  • Participate in initial new customer set-up meetings.

  • Collaborate with Service Coordinators, District Service Managers, and the Credit Department to maximize workflow efficiency

  • Other duties as required to facilitate the efficient flow of business and utilization of company resources.

REQUIRED SKILLS:

  • Advanced computer skills as well as familiarity with Microsoft Office and other web-based programs.

  • Strong work ethic is required.

  • Ability to communicate effectively; both verbally and in writing is necessary.

  • Demonstrate excellent customer service, organizational and time management skills.

  • Ability to complete multiple tasks with competing deadlines.

  • Ability to be flexible, adapt to change and thrive in a hectic, fast paced environment.

Qualifications:

EDUCATION AND/OR EXPERIENCE

High School Diploma or GED AND 2 years' work experience in an accounting, customer service and/or dispatch environment supporting customers, vendors and/or clients in multiple locations. Previous HVAC, Service and Repair or Facility Maintenance industry experience a plus.

SUPERVISORY RESPONSIBILITIES

This position does not have supervisory responsibilities.

LANGUAGE SKILLS

Ability to interpret and analyze routine business communications and to compose standard business correspondence. Must be able to present information, data, facts, and figures across all organizational levels.

REASONING ABILITY

Define problems, collect data, establish facts, and draw valid conclusions.

PHYSICAL DEMANDS

The Billing Coordinator is frequently required to be at a desk (sit or stand based on preference) and operate a computer keyboard, mouse, and telephone

WORK ENVIRONMENT

The position works in a typical office environment. The noise level is usually moderate. Occasional extended hours during reporting periods and peak season may be required.
