As an Injury Prevention and Protection Program Associate within the Office of Health Protection and Injury Prevention at the Georgia Department of Public Health,you will join a dedicated group of public health professionals that help support the overall mission and vision of protecting lives of Georgian residents in a variety of ways.

Job Responsibilities

Description The Georgia Department of Public Health is the lead agency entrusted by the people of the state of Georgia with the ultimate responsibility for the health of communities and the entire population.

The agency is seeking a highly qualified candidate for the position of Program Associate within the Division of Health Protection, Injury Prevention Program.

Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers. Under supervision, performs complex administrative duties and statistical, financial, or operational data analysis and reporting in support of management decision making in functional area. Identifies trends, discrepancies, and variances to improve the efficiency and effectiveness of operations. May partner with other departments, divisions, outside agencies, and vendors to address business issues. Exercises various latitudes of independent judgment. May administer or provide high level support for various projects, grants, contracts, implementation of procedures, and/or any specialized functions.

Job Responsibilities Overview

Serves as liaison between the program/administrative/technical operation, program management and clients. Solves problems independently based on knowledge of operation. Supports all Injury Prevention Performance Expectations.

  • Demonstrates an advanced understanding of program/administrative/technical operation, and accompanying rules and regulations; resolves discrepancies with invoices, timesheets, and bill
  • Interprets program/administrative/technical guidelines for clients and others within the organization according t established procedure; ensure documentation for all policy and procedure forms from staff
  • Facilitates the resolution of problems and difficult situations independently and in a courteous manner; responds to questions, requests in a timely manner
  • Communicates directives, assignments, messages, and information clearly and accurately according to DPH guidelines. Point of contact for new staff identification and access card, human Resources, IT, and Purchasing/Accounts Payable
  • Obtains information from a variety of sources according to DPH and Federal guidelines for the fund sources

Disburses information/benefits and/or completes transactions according to program/operational procedures. May audit records or processes to determine compliance with program/operation guidelines.

  • Disburses benefits/information/transactions according to DPH guidelines
  • Accounts for transactions according to DPH policies and procedures; completes basic expenditures, purchase orders, travel requests and expense forms for approval processing
  • Documents actions as required
  • Determines appropriate response to inquiries based on applicable criteria such as eligibility guidelines, record retention guidelines, or confidentiality protocol
  • Generates reports as required by DPH policies and procedures; compiles queries for programs by request to track expenses and ensure grant guidelines are met
  • Reviews records, transactions, or products for compliance with DPH guidelines. Resolves any discrepancies

Maintains financial, personnel, or related records of the program/operation. Establishes and maintains Filing and record-keeping systems in support of program/operation.

  • Establishes and maintains organized, accessible, and current systems according to DPH policies and procedures
  • Classifies, sorts, files, transfers and/or retrieves documents according to DPH program policies and procedures
  • Maintains confidentiality of records; releases information according to DPH guidelines
  • Purges documents according to Program guidelines
  • Enters data into information systems according to Program guidelines
  • May supervise staff responsible for day to day filing and record-keeping
  • Tracks budget expenditures maintains appropriate records and can answer inquiries and resolve issues based on those records
  • Maintains Program website

Provides training and technical assistance to clients, third party vendors, and others within organization

  • Informs appropriate personnel of changes in program/operation policies and procedures
  • Conducts seminars and other training sessions
  • Assists in the development of training materials within program guidelines
  • Interprets program/administrative/technical guidelines for clients and others within the organization according to established procedure

Prepares memos, correspondences, forms, and other documents.

  • Initiates and composes correspondence and administrative transactions according to program/operation practices
  • Develops or designs documents or visual aids to meet organizational needs
  • Generates and distributes reports using word processor
  • Uses a variety of software applications
  • Supports programs through writing of grants to increase funding portfolio

Responds to incoming mail, phone calls and electronic requests; initiates and prepares documents in support of program/operation. Distributes mail as appropriate.
