We are looking for a dynamic Senior Executive Assistant/Office Manager to join our team within the Office of the Under Secretary of Defense for Personnel and Readiness (OUSD P&R). This position will report to a CATHEXIS task lead, who will assist them with their transition into their day-to-day responsibility of supporting our client. They will join a larger CATHEXIS team that supports other OUSD P&R offices.

The Executive Assistant will provide administrative and analytical support to the OUSD P&R supporting offices. Support includes calendar management, scheduling, daily read book, call management, etc. They will regularly collaborate and coordinate with stakeholders within the Department of Defense (DoD) and with other government agencies to manage cross-cutting tasks.

The work location of this position is at the Pentagon.

Responsibilities:

  • This position will routinely exercise independent judgment and discretion to include identifying and scheduling leadership priorities, coordinating meetings, and communicating with external parties on behalf of the Front Office

  • Completes high-visibility and short-turn assignments as needed with minimum oversight

  • Manages and maintains the calendar and schedule of the director, to include resolve conflicting priorities and orchestrate changes to the calendar; efforts may include coordination, verification, and scheduling of meetings with senior government personnel, congressional members, and staff.

  • Provides critical administrative support to Federal Government leadership

  • Plans, coordinates, and confirms logistical support (transportation, badges, security clearance paperwork, audio visual support, etc.) for meetings held in conjunction with OUSD P&R activities; escort, greet, and provide information support

  • Provides a daily read-ahead book with information for the next day and next week activities for Leadership; maintains electronic copies, and paper as directed, of files of all office documents including letters, memos, reports, and briefings

  • Coordinates office administrative functions including office security administration, office space management, processing security clearance and visit requests for personnel and visitors, scheduling office events and ordering supplies

  • Provides operational services and knowledge management support to include file consolidation and management on network-based applications

  • Performs extensive administrative and analytic responsibilities; provides QA to deliverables include briefing material, written correspondence, etc.

  • Manages the Correspondence and Task Management System (CATMS) task management tool, as needed

  • Arranges travel and accommodations for a SES-level Director

  • Act as an office manager by keeping up with the office supply inventory

  • Facilitates visitors/office calls/inquiries

Requirements:

  • Bachelor’s Degree

  • Five (5) years of experience

  • Current Secret Clearance

Skills:

  • Excellent organizational, personal, and editing skills

  • Strong attention to detail

  • Ability to multitask, track multiple deadlines, adapt to shifting priorities, and interact with senior leadership

  • Experience with DOD’s CATMS Task management system

  • Experience with standard MS Office suite products and SharePoint

Desired Skills:

  • Previous military experience or experience supporting the Federal Government

  • Experience supporting or working with the Department of Veteran’s Affairs

  • Experience as a federal executive assistant

  • Experience working in or supporting the Office of the Under Secretary of Defense

  • Self-motivated and does not require detailed management oversight

  • Experience providing customer service support

  • Ability to maintain consistent performance in a dynamic environment with shifting priorities

  • Effective communication skills with the ability to maintain good working relations with diverse groups

  • Organized with strong attention to detail
