Job/Position DescriptionUnder the supervision of the Public Health Region (PHR) 2/3 Immunization Manager, the Staff Services Officer I performs routine (journey-level) administrative and technical program support for the immunizations team in both regions 2 and 3 including, but not limited to, general office duties (answering the phone, emails, and mail), accounting, budgeting, purchasing, and records management; they will enter and track data for programmatic and financial reports, and assist in completion of regional assignments and dissemination of program information to public, healthcare providers, and DSHS regional team members. The SSO I works under moderate supervision with limited latitude for the use of initiative and independent judgement. They act as the main point of contact for the immunizations program and are responsible for responding to general inquiries from community members by phone or email, under the guidance of the Immunizations Program Manager. The SSO I will assist in coordinating and supporting immunization team community outreach events, as well as assisting immunizations team members with data entry and other tasks as needed. The immunizations SSO I prepares and monitors purchasing requisitions, manages purchasing inquiries, tracks and reviews travel expenditures, compiles data documenting expenditures and forecasts expenditures for the coming fiscal year under the direction of the Immunizations Program Manager. Coordinates the immunization program budget and purchases with the Public Health Nursing Administrative Assistant and Manager.All PHR 2/3 team members are part of the Incident Command Structure who would respond in case of a public health emergency. Must comply with HHS, DSHS, and Texas Department of Public Safety applicable policies/procedures/standards. Must be able to work in the Arlington Office, Monday-Friday, 8:00 a.m. - 5:00 p.m. This is an in-person position. Independent travel (10%) is required to meet the essential job functions of this position. Essential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.General Support Duties: Answer and direct phone calls, disseminate team updates from the Program Manager or other information to the immunization team; open and process incoming mail and email. Serves as the general point of contact for the immunization program during work hours, in the Arlington office, Monday- Friday, 8- 5 pm. Gathers operational data and submits reports to Immunization Program Manager for review per their request. Assists with responses to requests from community members for immunization records using ImmTrac2, according to established protocol. Performs other duties as required to support program operations, such as assisting regional vaccine consultants with data logger requests, and data entry assistance for population assessments. Organizes immunizations program reports and records, ensuring compliance with state and federal guidelines for records retention. Assists with travel claim questions from the immunizations team. Assists immunizations program team at outreach events and provider training visits as needed. This EJF requires independent travel throughout the State of Texas.
