Job Summary
Responsible for overseeing the administrative services for the College of Education Shared Services Offices. Perform duties related to personnel, budgeting, fund management, and strategic planning. Assist the Department Chairs in a variety of administrative duties. Requires extensive exercise of independent judgment, initiation, and ability to make decisions relative to office operations. Must stay abreast of all UTA policies and procedures to serve as backup to any staff member and train new members.
Essential Duties and Responsibilities
Completes monthly and annual budget reconciliation, resolves discrepancies, and confirms accuracy when budget loads. Facilitates purchases, confirms fund availability, and reviews account balances.
Assists Department and College Administrators with a wide variety of internal duties and a large volume of decisions which require a thorough understanding of the functions, programs, and policies of the University.
Interprets leadership’s decisions and policies.
Works with department staff to schedule classes, enter faculty as instructors in MyMav, and reserve classrooms.
Personnel-Onboards new Faculty and Staff, HRMS updates, eForm submissions, departmental appointments, as well as supervises and facilitates hiring of two support staff and various student workers. Processes semi-monthly and Timekeeper reporting.
Arranges meetings, conferences, and workshops; prepares the agendas; and provides refreshment services. Composes complex correspondence, memorandums, and fliers to distribute to the department and other entities.
Maintains personnel records for faculty and staff including recruitment forms, appointments, change of status, terminations, and performance evaluations.
Performs other duties as assigned.
Minimum Qualifications
Bachelor’s degree or equivalent with three (3) years of experience in a large academic department.
Excellent communication skills (written and verbal).
Ability to communicate and liaise with faculty and administrators.
Preferred Qualifications
At least two (2) years of experience managing office staff.
Knowledge of the University’s academic policy and procedures.
Knowledge of PeopleSoft.
Efficient and competent working knowledge of Microsoft Office.
Proficient knowledge of UTShare, MyMav, Canvas, Mentis, Digital Measures and other various UTA programs.
