Job Summary

Responsible for overseeing the administrative staff on the COLAs Shared Services Team. Provide leadership to the College related to areas of human resources. Prepares reports and presentations. Participates in and contributes to special projects as directed by the Dean. Ensures that shared services unit operations comply with organizational policies and procedures. Independently handles moderately complex issues and problems. Requires extensive exercise of independent judgment, initiation, and ability to make decisions relative to office operations. Must stay abreast of allUTApolicies and procedures to serve as backup to any staff member and train new members.

Essential Duties and Responsibilities

  • Oversees and manages the COLAs Shared Administrative Services Team and delivers high-quality administrative services. This includes onboarding, training/cross-training, and conducting performance reviews.
  • Establish and deliver a set of administrative support services.
  • Directs and reviews work of the team, including coordination of hiring, major purchasing, endowment management, travel, and procurement activities, including ProCard payments, MavEShop transactions, and requisitions. Responsible for overseeing the teams financial reconciliation for the academic departments/programs that fall under theCOLAShared Services delivery model.
  • Analyzes internal processes and recommends procedural changes to improve Shared Service operations.
  • Assists in the documentation of best practices and training guides/job aids. Implements and monitors changes.
  • Create standardized processes for delivering established administrative support services.
  • Work with the team to implement and continuously improve the delivery of administrative services and processes.
  • Recommend changes to services to better meet customer needs. Hire, terminate, coach, set work assignments, and approve time for staff.
  • Provide performance evaluations, training, and development plans to strengthen and grow the individual.
  • Enforce internal procedures and controls and problem resolution.
  • Ensure adequate staffing for workload and manage staff augmentation as needed.
  • Work with the team to establish performance metrics to ensure customer satisfaction.
  • Assists the College Business Officer and Business Operations Manager (BOM) with meetings, reports, surveys, and special projects.
  • Oversee the management of administrative projects and event deadlines.
  • Oversee and manage all CoLA centralized HR procedures including hiring, terminations, resignations, funding changes, reclassifications, salary changes, payroll reconciliations, and HR reporting.
  • Other duties as assigned.

Required Qualifications

  • Bachelors degree in business or a relevant field of study.
  • Five years of high-level administrative support, including at least five years of employee supervision

Preferred Qualifications

  • Previous higher education experience.
