Job Summary
The role is responsible for coordinating, tracking, and managing HR functions to support the College of Science including preparing faculty (T/TT and APT) applicant packets, monitoring approvals, and creating HR reports. The role also reviews and updates internal processes to ensure consistent alignment with university policies. This position will report to the Executive Assistant to the Dean.
Essential Duties and Responsibilities
Coordinates the faculty hiring process, working closely with the Dean and department chairs/admins and coordinating with Faculty Employment.
Advises departments and search committees of workflow and process requirements.
Assists departments with search document submissions to FE. Drafts offer letters.
Coordinates with CBO for budget information and makes adjustments to hiring packets as necessary; submits packets to Provost’s Office.
Oversees processes regarding staff hiring, reclassifications, and salary increase requests for dean’s office and all departments in the college. Reviews, analyzes, and provides recommendations on related request documents.
Coordinates with Compensation to ensure salary equity.
Trains department staff on use of PeopleAdmin.
Performs complex administrative functions necessary to manage the college’s tenure and promotion process and annual review process, working with the Provost’s Office.
Serves as the college’s coordinator for Digital Measures/Faculty Success and works with the Dean, Associate Deans, each department, and faculty on its utilization.
Reviews dossiers for completeness prior to the Dean’s review. Instructs faculty on the use of SmartEvals.
Supports the College P&T Committee by organizing and assisting the committee chair with running meetings; tracks confidential votes.
Monitors status of all college faculty reviews and reports this information to the Dean.
Creates college HR processes and procedures that are in concordance with university policies; remains up to date on HR processes and procedures.
Communicates policies and procedures to college administrative staff and faculty.
Maintains faculty and staff data spreadsheets, tracking information such as salaries and remote work arrangements. Creates reports for the Dean.
Creates and maintains electronic college faculty and staff personnel files.
Monitors annual staff performance evaluation completions.
Other duties, including signing and tracking volunteer request forms, visa requests, and staff remote work agreements.
Minimum Qualifications
- Bachelor’s degree with five (5) years related experience or nine (9) years of an equivalent combination of education and experience.
Preferred Qualifications
Experience with Digital Measures.
Experience with UTShare/PeopleSoft.
Experience with PeopleAdmin.
Work experience in HR capacity in higher education.
Experience with Microsoft products: Word, Excel, PowerPoint.
Knowledge, Skills and Abilities
Ability to work with people, general computer skills.
Good communication skills, both oral and written.
