Job Summary
To provide high-level scheduling and logistical support to the College of Engineering Assistant and Associate Deans. Responsible for administrative duties which require confidentiality, independent judgment, initiative, and the ability to make decisions relative to scheduling expectations and the needs of the Assistant and Associate Deans.
Salary starting at $46,500.
Essential Duties and Responsibilities
Provide direct administrative support for the Assistant and Associate Deans, to include coordination of meetings, event logistics, and communications channels.
Manage calendars and arrange appointments for theAssociate Deans. Manage a College calendar with input from senior staff.
Coordinate logistics and agendas for Assistant/Associate Deans’ meetings.
Develop quality and timely briefing materials on issues and objectives, as applicable.
Review, assess, route, answer, and monitor follow-up action steps for both internal and external meetings.
Gather and analyze information required for administrative reporting.
Reserve meeting spaces, arrange logistics and order catering for events as needed.
Handle sensitive information related to meetings and College matters using best judgment.
Make decisions that require a thorough understanding of University functions, programs and policies.
Handle all travel arrangements for the Assistant and Associate Deans including but not limited to booking travel and creating travel authorizations and expense reports.
Prepare vouchers for payment or reimbursement as needed.
Serve as a backup for Dean’s Office procurement activities.
Perform other duties assigned.
Minimum Qualifications
- Bachelor’s degree with three (3) years of upper-level administrative support experience or equivalent.
Preferred Qualifications
Five (5) years of upper-level administrative experience.
Three (3) years of experience in higher education in a similar position.
Professional experience in Outlook scheduling, Concur, and MS Teams.
Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
Experience managing varied requirements with multiple deadlines required.
Knowledge, Skills and Abilities
Excellent communication skills and ability to interact with a variety of individuals at a high level of communication.
Ability to maintain strict confidentiality when working with highly confidential information.
Effective written and oral communication skills.
Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools.
Ability to work across teams and with a variety of projects and constituencies.
Excellent oral and written communications skills.
Ability to complete all physical tasks as needed.
