Job Summary

Provide highly skilled coordination and management of the administrative operations for the Department of Sociology and Anthropology. Responsible for varied administrative and financial processing support, correspondence, HR processing/on-boarding, purchasing, and general support relative to departmental operations and events. Must stay abreast of UTA policies and procedures and possess an elevated ability to exercise initiative and independent judgement to efficiently prioritize and multi-task, managing time and expectations successfully to meet deadlines and goals while keeping the office organized and ensuring effective and efficient office management.

Essential Duties and Responsibilities

  • Manage the financial transactions of the department, including supply and technology requisitions, expense reimbursements and reports, payment vouchers, scholarship disbursements, and leasing and service requisitions. Maintain and reconcile department ledgers. Maintain personal monthly ProCard log and review the ProCard logs of staff.

  • Develop and monitor departmental budget, including monthly review and verification for accuracy.

  • Monitor financial trends and the department’s financial state and communicate this information promptly to the Department Chair. Assist the Department Chair with annual budget hearings.

  • Coordinate information related to the class schedule (class schedule proofing, room assignment requests, and instructor name submission into MyMav).

  • Serve as point of contact for departmental room/space requests through ASTRA.

  • Responsible for annual university inventory verification; purchase office supplies and equipment for the department; create key requests and maintain key control inventory; prepare department access lists provided to various campus entities; serve as records retention manager.

  • Serve as department receptionist (email, voice mail, and face to face contact).

  • Serve as Department Safety Liaison, responsible for all elements of emergency preparedness and incident/accident prevention and reporting.

  • Act as administrative liaison with other units on campus and with outside organizations.

  • Provide administrative support to the Department Chair.

  • Perform other duties assigned.

Minimum Qualifications

  • Bachelor’s degree with one (1) year upper-level secretarial experience or high school with five (5) years of increasingly responsible administrative, secretarial and clerical experience or the equivalent experience.

Preferred Qualifications

  • Bachelor’s degree. Three to five (3-5) years of experience in an academic department.

  • Knowledge of UTA’s academic policies and procedures.

  • Excellent communication skills (written and verbal).

  • Ability to communicate and liaise with faculty and administrators.

  • Proficient knowledge of UT Share, MyMav, OneDrive, PeopleAdmin, Canvas, Digital Measures, Teams, TCP, and other various UTA programs.
