City Of Apple Valley Office Coordinator - Community Center (Part-Time) in Apple Valley, Minnesota

First point of contact at the Community Center front desk. Responsible for responding to in-person and telephone inquiries; answering multi-line telephones; taking and relaying messages; typing correspondence and forms; filing; computer operations; and entering data. Processes Parks and Recreation program registrations and reservations and maintains accurate records and financial reports. Assist other divisions as directed. Answers phones, greets and assists the public, and provides information regarding Parks and Recreation programs. Answers routine questions such as program registration details and park locations. Receives and routes concerns to appropriate individuals. Takes and relays messages. Coordinates with other departments, divisions, and agencies as necessary. Types correspondence, documents, reports, forms, and other data as assigned. Enters and maintains recreation program registrations and assists customers with registrations for recreation programs and activities and facility reservations via online software program. Maintains a courteous and professional demeanor in all relations and matters dealing with the public using the facility and programs. Provides clerical support to department staff and performs general clerical duties including filing data and materials, assembling file documents, copying, and maintaining records. Completes reports, class lists, and program materials. Enters and updates data on computer. Processes routine forms and requests and prepares corresponding communications. Processes program payment transactions and prepares daily financial reports and deposits using point-of-sale system. Assists with processing office supply requests of the department. Provides work direction to casual staff assigned to the facility when directed by Parks and Recreation Administrative Coordinator. Delegates tasks and projects and assists as needed with program and facility needs. Maintains records and prepares reports as requested by Parks and Recreation Administrative Coordinator. Troubleshoots department concerns that arise with Community Center facility and programs. Assists facility users with building, program, and activity needs as necessary. Operates general office equipment such as telephone, personal computer, typewriter, copier, printer, scanning equipment, fax machine, and calculator. Keeps other facility and department staff regularly and timely informed of activities and issues related to the facility. Performs other duties consistent with the responsibilities of the position as apparent or assigned.
