Position Description The Anoka County Community Corrections mission is Working to build a safer community. The department has an immediate opening for an Associate Administrative Assistant who will perform various duties. The Associate Administrative Assistant provides front desk reception for the department. Work includes front desk reception, general office management, such as record keeping, file management, clerical and secretarial support, and coordinating special projects. This is a full-time, non-exempt, on-siteposition. Interviews will take place the week of June 24, 2024 for those selected to move forward in the hiring process. Pay & Benefits Starting Salary: $42,619 to $50,065 ($20.49 to $24.07 per hour). 2024 Anoka County Salary Schedule Grade 26. $42,619 to $57,512 ($20.49 to $27.12 per hour). 24 days of paid flexible time off and up to 12.5 paid holidays. Advancement/professional development opportunities. Work Location This position will work at the Anoka Courthouse, located at 2100 3rd Avenue, Suite C100, Anoka, MN 55303. Expected work hours are Monday - Friday 8:00 a.m. - 4:30 p.m. Job Duties and Responsibilities These examples are not all inclusive and are intended to be illustrative of primary responsibilities of an Anoka County Associate Administrative Assistant. Deliver remarkable customer service while answering phones, providing front desk support, assisting walk-in clients and guests, and completing clerical duties. Provide office support that coordinates all front desk operations, electronic case records, and service requests. Serve as the main point of contact for the department by directing incoming inquiries to the appropriate probation officer, supervisor, or refer to the proper agency. Observe data privacy laws, Health Insurance Portability and Accountability Act (HIPAA) with each client. Routinely access and maintain files on various computer systems including Court Services Tracking System (CSTS), OnBase, and Microsoft Office including Outlook, Word, and Excel. Distribute mail as well as scan client and court documentation into an electronic filing system. Assist staff, supervisors, and managers in office-related matters. Qualifications and Requirements: Minimum Knowledge, Skills, and Abilities Needed Requires a high school diploma. Preferred Knowledge, Skills, and Abilities Needed Two years or more of full-time (2,080 annual hours) job-related experience in a human services agency, office support or customer service experience working in a call center or in a reception environment. Provide proficient customer service skills both in person and over the phone while managing a large volume of inquiries. Effectively, positively, and professionally communicate and interact with the public that have diverse life experiences. Strong listening skills. Accurately maintain filing systems and manage multiple computer programs and databases. Computer skills, such as Microsoft Word, Excel, and Outlook. Maintain confidentiality and to comply with federal, state, and county rules and regulations. Physical Demands and Work Conditions Standard office environment. Vision abilities required by this job include close vision, distance vision, and the ability to adjust focus, such as to work on computers. Hearing abilities required for general and phone communication, signals, and machine sounds. Alternating between sitting, standing, and walking daily to serve clients coming in for probation. Occasional crouching and kneeling as required to perform job responsibilities. Frequent wrist and finger manipulation to complete computer work. Occasional lifting of 10-20 lbs. Equipment used includes computers, phones, and standard office equipment. Occasional travel to other county work sites as needed. Travel between work sites may require driving a county vehicle and/or a personal vehicle.
