Summary

The D. Dan and Betty Kahn Health Care Pavilion is a 12-story hospital that will house 264 private rooms capable of converting to intensive care; a state-of-the-art neurosciences center; and high-level, specialty care services for cardiovascular and thoracic patients, along with advanced imaging. The 690,000-square-foot hospital which also features 20 surgical and three interventional radiology suites is being constructed adjacent to the Frankel Cardiovascular Center, with plans for bridge and tunnel connections to existing inpatient care facilities. The anticipated opening of the new D. Dan and Betty Kahn Health Care Pavilion is fall 2025.

The business systems analyst intermediate will join the multidisciplinary Perioperative Services Team supporting pavilion hospital activation. Once the building opens, the business systems analyst will continue supporting Perioperative Services by coordinating the OR Scheduling, reviewing, and posting all HB charges, and maintaining the database for instruments, procedures, and supplies.

Responsibilities*

During building activation, the BSA will be responsible for the following:

  • Work with Service Leads and vendor representatives to create purchase orders and order appropriate inventory, ensuring products (including instruments) are ordered, received, stored, and maintained on a timely basis in alignment with the building opening.

  • Utilize current University Hospital Doctor Preference Cards (DPCs) as a template, create DPCs for the new hospital, including changes from Service Leads.

  • Ensure the integrity of information in the various systems utilized by the supply chain team is correct, and optimally configured to accomplish the supply chain objectives.

  • Interface with Nurse Managers, Contracts and Procurement, and Value Analysis team to obtain approvals for procurement of new product or equipment. Obtain written quotes and sole source documents as requested.

  • Build instrument sets in Censitrac.

  • Assist with perioperative area readiness (creating and applying labels, organizing, etc.). Configure optimum OR inventory plans and execution for assigned categories, locations, racking, labeling, flow, PAR levels, lead time, material flow.

  • Work with various preferred vendors to procure inventory carts, bins and other accessories.

  • Verify and reconcile all invoice discrepancies sent from finance.

  • Collaborate with the Perioperative Supply Chain team to ensure that all medical supplies and implants have correct prices, Vendor IDs, contract numbers etc.

  • Other duties as assigned

Once the building opened, work will shift to OR schedule coordination and HB Billing:

  • Review cases, validating ties and supplies. Add implant devices per FDA and charging requirements. Select case type, initiate OR level charges or other HB appropriate charges. Ensure revenue cost centers are complete and accurate. Post cases and run validation reports to catch and correct anomalies.

  • Work collaboratively with the Periop/Procedural Area Billing Team. Document training materials for pavilion scheduling and charging. All team members cross train to provide coverage for OR, IR, and CPU charges.

  • Provide charging summary and trending data to various groups.

  • Collaborate with Tissue Coordinator and OR Charge Coordinator to ensure all FDA regulations have been documented and distributed to the appropriate vendors.

  • Work collaboratively with Supply Chain Team Members to ensure the proper build for new items, trial items, and other appropriate documentation components.

  • Validate all items documented in Q-sight have associated charges and are decremented correctly.

  • Assist in department wide charge validation and adjustment tasks, as needed.

  • Monitor MiChart work queues for changes made and addend cases appropriately.

  • Monitor QSight reconciliation for charge discrepancies and addend cases appropriately.

  • Assist accurate room scheduling, ensuring proper procedure codes are built with appropriate HB linked charges. Adjust service blocks, note specific room closures.

  • Assist in the training for new department Schedulers and Nursing Staff on the use of OpTime and Cupid as it relates to completion of documentation needed to create correct patient charges.

  • Act as a reference for Nurse Auditors case reviews.

  • Other duties as assigned.

Required Qualifications*

  • Bachelors Degree or comparable combination of experience and education.

  • Excellent organizational, analytical, and written/verbal communication skills.

  • Good investigative skills and strong attention to detail, particularly to numbers.

  • Demonstrate effective problem-solving skills.

  • Self-directed and motivated, with demonstrated time management skills.

  • Demonstrated ability to communicate and collaborate effectively with members of the healthcare team.

Desired Qualifications*

  • Experience with medical terminology, products, OR surgeries, and clinical practices.

  • Surgery coding and billing experience.

  • Knowledge of hospital and surgical environment.

  • Knowledge of scheduling and/or billing in MiChart.

  • Knowledge of functions in MiChart and other UMHS applications.
