Job Summary

The Department of Biomedical Engineering (BME) is a joint academic department with reporting lines to the College of Engineering and the Medical School. The dual-school environment includes a growing faculty roster within both schools, a large and increasing collaborative research portfolio, multi-building research facilities, innovative instructional programs at all academic levels, and a focus on research translation and entrepreneurship. BME is pursuing strategic goals to establish enhanced connections within and beyond both schools. By launching shared facility cores to enable faculty success in research and providing an educational experience for undergraduate students through Ph.D. candidates, BME strives to best prepare graduates for the multitude of career options at the interface of engineering, life sciences, and medicine.

The finance and administrative team within the Department of Biomedical Engineering is seeking a highly-skilled Administrative Assistant.

Responsibilities*

  • General departmental administrative support to include meeting and event planning, facility and conference room scheduling, delivery and handling of materials and goods, and providing administrative support to the department including faculty for their instructional activities. Core functions will include support in reception, procurement, meeting and event planning, timekeeping, and other general administrative support.

  • Schedule and coordinate meetings, appointments, and events for department staff.Assist in the organization of conferences, workshops, and seminars, including logistics and participant communication.Manage calendars for senior staff members, prioritizing and arranging meetings and appointments efficiently.

  • Provide administrative support for special projects, research, and other departmental initiatives.

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents as needed.Maintain accurate and up-to-date records, files, and databases, ensuring data integrity and confidentiality.Assist in the preparation, editing, and distribution of various reports, documents, and presentations.

  • Execute financial matters for the department and/or assigned faculty including, but not limited to, vendor payments, tracing of expenses, processing and tracking travel/hosting reports, conference registrations, P-card statements, and handling procurement of goods/services for the department and assigned faculty.

  • Other duties as assigned.

Required Qualifications*

  • This position requires a high school diploma plus 2 to 4 years of experience in a related area in administration, including general clerical, procurement, and/or meeting and event planning experience.

  • Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.

  • Strong written and verbal communication skills, with attention to detail and accuracy.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Discretion and confidentiality in handling sensitive information.

  • Proven problem-solving skills and a proactive approach to addressing challenges.

Desired Qualifications*

  • Associates or Bachelor's degree plus 2-4 years of office-related experience.

  • Experience providing a broad range of general support to a diverse constituency.
