Summary
The Recruiting Coordinator is accountable for providing a wide variety of administrative support activities and functions as it relates to the recruitment and hiring process.This position will work closely with an assigned recruiter and mentor to train and transition work activities, this position will also work in close collaboration and in a direct reporting relationship to the Senior Director of Recruiting.
Essential Duties and Responsibilities
Field incoming Recruiting Department calls, taking messages as needed, transferring calls to the appropriate person or department, and troubleshooting as needed. Call volume can be high at times.
Assist applicants with general inquiries and the application process.
Assist job seekers and shareholders who visit the building with job application assistance, password resets and general recruiting related inquires.
Post and track current job openings as directed with external job sites i.e., Craigslist, Indeed, LinkedIn, CareerBuilder, State of AK Job bank and other various resources. May also assist with social media or print job postings/advertisements.
Assists in the hiring process where needed to meet the needs of both field and centralized recruitment and hiring efforts.
May communicate new hire information to HR and the NMS Onboarding team and assist with general inquires and associated troubleshooting.
May pre-screen applicants to evaluate skills and experience by conducting phone screens at the direction or request of a recruiter.
Administer SHL skills assessments to candidates during the hiring process.
Track and support department expense reporting process, coding, seeking appropriate approvals and submission at the direction of the assigned mentor recruiter.
Coordinates and participates in job fairs, job clubs or recruitment related event as needed. This may involve some travel and coordination outside the Anchorage area.
At the direction of and in collaboration with the Senior Director of Recruiting communicate with the Shareholder Relations team on NMS’s current job openings, job fairs and Shareholder Hire. May involve special recruitment projects and or efforts to ensure, support and increase Shareholder Hire.
Work with hiring managers as requested by the recruiters in troubleshooting Taleo requests or navigation, recruitment/hiring process assistance or general navigation or setup questions.
May draft Taleo requisitions in collaboration and at the request of the recruiters.
Assist with Offer Letters, Taleo Offers and PAN support in collaboration and at the request of a recruiter.
Maintain/document all pertinent applicant and interview data in Taleo.
Assist with dispositioning candidates and closing requisitions in Taleo.
Support recruitment marketing campaigns, special projects, and initiatives as it relates to recruitment marketing. This may involve collaboration with NANA’s Corporate MarCom team or with the associated businesses MarCom teams.
Research and recommend new sources for active and passive candidate recruiting advertising, social media and recruitment marketing efforts.
Participate in meetings that pertain to Recruiting and HR related matters and topics as needed.
Provide a variety of administrative support functions.
Operates in a strict climate of confidentiality and requires extensive discretion in conducting day-to-day activities.
Other duties that are pertinent to the department or unit’s success also may be assigned.
This position requires an extremely perceptive person, who can relate to individuals at all levels from many diverse backgrounds. As unique situations present themselves, the Recruiting Coordinator must be sensitive to corporate needs, employee goodwill and the public image.Experience working with Alaska Native cultures is critical for success.
Qualifications
Minimum Requirements
Two (2) years of post-secondary education and at least two (2) years of varied HR, recruiting or staffing or related admin support experience.Willing to consider experience in lieu of post-secondary education.
Must be able to clear a pre-employment drug screen, criminal background check, and post-offer physical assessment.
Must have a valid driver’s license with a driving record acceptable to our insurance carrier (clear three-year record with no DUI’s in the past five years).
Must type at least 50 words per minute.
Must have three years’ experience using general office equipment and various software programs.
Intermediate computer skills in MS Word, Excel, PowerPoint, and Outlook. Skills testing will be administered and evaluated as part of the interview and selection process.
Must have ATS (applicant tracking systems) experience, experience working with Taleo preferred.
Working Conditions and Physical Requirements
Weather: Indoors - environmentally controlled; requires most or all work to be done inside.
Noise level: The noise level in the work environment is usually that of a standard office atmosphere.
Description of environment: Office building with standard office environment.
Physical requirements: Employee is required to occasionally lift and/or move up to 25 lbs. Frequently required to sit, stand, walk, use hands/fingers to handle or feel, climb, stoop, kneel, crouch or crawl, talk/hear, see, taste/smell, and carry weight/lift.
Travel Up to 10% of the time.Employee may travel throughout Alaska and/or to remote locations and may be required to use alternative modes of transportation, including but not limited to snow machines, boats, small airplanes, and ATVs.Travel to and from the worksite will be provided and arranged by NANA. :
