Overview:

As a Project Controller for our Federal Grants project, you will play a pivotal role in ensuring effective financial management, compliance, and reporting for all aspects of the project. This position demands meticulous attention to detail, a thorough understanding of federal grant regulations, and strong analytical skills to manage budgets and financial data accurately. You will collaborate closely with project managers, finance teams, and stakeholders to ensure adherence to grant requirements, optimize financial processes, and support the project's success.

Financial Management:

  • Develop and maintain comprehensive project budgets in compliance with federal grant guidelines and organizational policies.

  • Monitor project expenditures, track variances, and analyze financial data to ensure alignment with budgetary constraints and grant requirements.

  • Coordinate with project managers to forecast financial needs and provide insights for effective resource allocation.

  • Implement financial controls and procedures to mitigate risks and ensure accuracy and transparency in financial reporting.

Grant Compliance:

  • Stay abreast of federal grant regulations, guidelines, and compliance requirements relevant to the project.

  • Interpret grant terms and conditions to ensure adherence in all financial transactions and reporting activities.

  • Collaborate with project teams to develop and implement strategies for compliance with grant guidelines and reporting deadlines.

  • Conduct regular audits and reviews to verify compliance with grant regulations and identify areas for improvement.

Reporting and Documentation:

  • Prepare accurate and timely financial reports for submission to federal agencies, ensuring compliance with grant reporting requirements.

  • Maintain complete and organized documentation of all financial transactions, approvals, and supporting records in accordance with grant regulations and auditing standards.

  • Assist in the preparation of grant proposals, budget justifications, and other financial documents required for grant applications and renewals.

  • Generate ad-hoc reports and analyses to support decision-making and provide insights into project financial performance.

Stakeholder Communication:

  • Serve as a primary point of contact for financial inquiries related to the project, both internally and externally.

  • Collaborate with project managers, finance teams, and external auditors to address queries, resolve issues, and ensure effective communication of financial matters.

  • Provide guidance and training to project staff on grant compliance, financial policies, and procedures as needed.

  • Analytical Skills - Ability to use thinking and reasoning to solve complex problems.

  • Budget Management – Has the ability to plan, develop and manage budgets. Can collaborate and work with contractors, leadership, and project stakeholders to ensure budget compliance.

  • Communication, Oral and Written - Ability to communicate effectively with others using spoken word and by writing clearly and concisely.

  • Conceptual Thinking - Ability to think in terms of abstract ideas.

  • Innovative - Ability to look beyond the standard solutions.

Ability to develop business cases for specific initiatives; understanding business impact and be able to model impact of technology on business process.

  • Time Management - A strong commitment to meeting deadlines and commitments, a good understanding of all tasks needed to complete an assignment and manage those tasks effectively to meet commitments.

  • Working Under Pressure - Ability to complete assigned tasks in stressful situations.

Skills:

  • Proven experience in financial management, budgeting, and reporting.

  • Federal grants financial management experience is a must.

  • Thorough understanding of federal grant regulations (e.g., Uniform Guidance) and demonstrated ability to apply them in a complex project setting.

  • Strong analytical skills with the ability to interpret financial data, identify trends, and make recommendations for improvement.

  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.

  • Proficiency in financial software and tools (e.g., Microsoft Excel, ERP systems) required.

  • Experience with Workday/Adaptive Planning is a plus. Experience with grants management software is a plus.

  • Familiarity with project management software (MS Project, Smartsheets, etc.) is a plus.

  • Effective communication and interpersonal skills, with the ability to collaborate cross-functionally and communicate complex financial concepts to diverse stakeholders.

  • Equivalent experience may be substituted for education and training, and vice versa.

  • A proactive mindset with a commitment to continuous improvement and a drive for excellence.

  • Ability to work independently with minimal supervision while also functioning as an integral part of a team. Integrity, professionalism, and a strong sense of ethics in financial management practices.

  • Adaptability and resilience in handling challenges and evolving project requirements.

  • Passion for the organization's mission and a desire to contribute to positive social impact through effective financial stewardship.

Education & Experience:

  • Bachelor’s degree in accounting, Finance, Business Administration, or a related field.

  • Advanced degree or professional certification (e.g., CPA, CMA) preferred.

  • Equivalent experience may be substituted for education.

  • Plus, six (6) years of progressively responsible professional level planning or operations experience demonstrating proficiency in financial regulations, accounting principles, and project management or project accounting.

Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
