POSITION TITLE: Administrative Assistant

DEPARTMENT: Women's Ministries/Officer Development

SUPERVISOR: Divisional Director of Women's Ministries/Divisional Leader for Officer Development

FLSA STATUS: Full-Time/40 hours per week; Non-Exempt

SCOPE OF POSITION

Administrative Assistant position is designed to carry out and enhance key functions of the Divisional Director of Women's Ministries (DDWM), supporting the various offices under the purview of the DDWM. It is imperative that the administrative assistant support the ministry goals of the department and demonstrate integrity and confidentiality in handing materials and information. This position will require a significant degree of trust and professional discretion as the individual will be assisting with highly confidential information, tasks, and schedules.

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent; college degree preferred.
  • Basic Computer skills and Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Strong organizational and planning skills.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Proven admin or assistant experience.
  • Excellent written and verbal communication skills.
  • Current Alaska driver's license with acceptable driving and criminal history reports.

ESSENTIAL FUNCTIONS

Administrative:

  • Provide daily administrative and clerical support and act as primary communication liaison on behalf of the DDWM.
  • Assist with program projects for the DDWM.

  • Gather, compile, and record data and information for a variety of routine, special and statistical reports related to each program area/staff member. These will include, but will not be limited to:

    • Adult Ministries, Women's Ministries and CCM Monthly, Quarterly, Annual and Special Reports, TEAM/Call to Arms, Bible Study, Adult Sunday School, Senior Soldiers.
    • Women's Ministries Annual Summaries
    • Divisional Auxiliary Statistics
  • Update Rosters for departmental programs including the preparation of membership cards and pins and annual recognitions as needed for:

    • Silver Star Members
    • Women's Auxiliaries
    • Retired Officers
    • Staff Birthday Roster
    • Officers Birthday/Anniversaries
    • Officers Children Roster
  • Receive and distribute incoming mail.

  • Arrange meetings and conferences as requested.

  • Make effective, efficient, and creative suggestions for the completion of assigned projects.

  • All other related duties will be assigned as needed.

Program:
  • Assist with details for events within the Women's Department, including but not limited to:

    • Women's Ministries Rallies
    • Women's Ministries Conferences, or training events
    • CCM Rally or training event
    • Senior Camp and Rallies
    • Family Camp
    • THQ Events registration
  • Assist in coordinating the divisional planning calendar.

  • Coordinate Divisional Birthday cards and gift cards mailed out monthly.
  • Create and produce flyers, programs, newsletters and greeting cards as requested by DDWM.
  • All other related duties will be assigned as needed.

WORK ENVIRONMENT: Work is performed in a heated and ventilated institution setting. The noise level is low. Exposure to extreme tempera ures is not a requirement of this position. The use of personal protective equipment may be required in accordance with the Hazard Communication Plan.

PHYSICAL DEMANDS: Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis. Ability to grasp, push, pull, and reach overhead. Ability to operate telephone. Ability to lift up to 30 pounds. Individuals must be able to perform the essential duties of the position with or without accommodation.

SOFTWARE-RELATED SKILLS: Microsoft Word, Excel and Outlook familiarity preferred. Ability to use new software programs with basic training.

LANGUAGE SKILLS: Must be able to understand, follow and give both written and oral instructions and be comfortable working with diverse individuals in face-to-face contact and over the telephone. The employee must be able to use speech and hearing for ordinary and telephone conversation.

MATHEMATICAL SKILLS: Must be able to perform simple calculations (addition, subtraction, multiplication, and division) and apply concepts such as ratios and percentages in practical situations.

PERFORMANCE SKILLS: Must be punctual, organized, self-motivated, flexible, and possess a desire to learn and assist those he/she interacts with.

PROTECT THE MISSION: Must complete the online course for this area and pass the Background Checks required by The Salvation Army for employment.

DRIVER REQUIREMENTS: Must be a licensed driver with acceptable driving history. Must also complete and pass The Salvation Army Driver Safety Course.
