Job Description:

The Procurement Services department at Iowa State University (ISU) is seeking qualified candidates for a Procurement Communications Specialist. This position works on internal and external communication projects for the department. This role will provide general customer relations information to external clients or customers and assist with providing communication consultation to internal stakeholders.

Example of Duties

  • Assist with communications to campus, suppliers, and external parties. Including, writing, editing, working with subject matter experts, targeting communication to intended audience.

  • Assist with website communications and overall website format. Including writing, editing, updating, and working with subject matter experts to ensure readability and understanding of content.

  • Create new web pages and resources to assist Iowa State Employees in utilizing procurement processes, understanding policies and processes, and to increase collaboration and collegiality with Procurement Services.

  • Arrange, coordinate, and oversee all procurement events for suppliers, employee recognition, or departmental promotion. Including making reservations, developing programming, and creating materials and scripts for the events.

  • Develop and promote Procurement Services Department’s policy statements that demonstrate the university’s support for awarding contracts and subcontracts to small businesses including HUB Zone small businesses, small, disadvantaged business, women-owned small business, veteran-owned small business, and service-disabled veteran-owned small business concerns.

  • Work with Office of Sponsored Programs to determine when a small business subcontracting plan is required.

  • Work with PI and other project personnel to educate on requirements and obtain information necessary to complete the Small Business Subcontracting Plans.

  • Complete the Small Business Subcontracting Plans in a timely manner.

  • Ensure ISU's compliance with Federal Uniform Guidance requirements pertaining to proper closeout procedures for procurements made using federal funds.

  • Formulate and implement a process to obtain pertinent compliance reporting information and documentation from PI's/research staff.

  • Develop and conduct supplier, customer, and internal departmental surveys.

  • Develop plans that utilize survey findings to address issues.

  • Oversee submission of peer review documents (AEP award, other peer reviews).

  • Assist with Procurement Services Help Desk questions as a back-up.

  • Prepare annual Targeted Small Business (TSB) reporting for the Board of Regents

  • Administer the Conflict of Interest (COI) approval and reporting processes
