Experience with business process management/workflow software and Microsoft Office Products.

Experience in a high volume, fast-paced environment.

Experience with database management.

Job Description:

The Office of Admissions is seeking a detail-oriented Clerk III to assist with processing application materials for admission. This role involves managing documents, maintaining the admissions database, and coordinating correspondence. The Office of Admissions at Iowa State University plays an essential part in supporting the university’s land-grant mission by recruiting, orienting, and enrolling new undergraduate and graduate students to meet enrollment goals.

Key Responsibilities:

  • Document Management: Scan, categorize, and link digital documents and images to student records in the admissions database.

  • Database Management: Identify and merge duplicate records, review data for accuracy, and correct any errors to ensure smooth application processing.

  • Correspondence Coordination: Proofread, create, and send both digital and physical admission-related letters, such as acceptance, denial, and hold notifications.

  • Excellent communication skills for interacting with staff, students, and the public.

  • Organizational skills to prioritize and manage multiple tasks efficiently.

This is a one-year team position.

Characteristic Duties and Responsibilities

• Examines, evaluates and verifies documents and student files for completeness and accuracy, determining conformity to established guidelines or policies, and personally follows up on discrepancies and resolves problems.

• Maintains appropriate files.

• Reviews inquiries and provides information regarding policies and procedures requiring knowledge of both assigned and related work areas.

• Prepares, compiles, and maintains records.

• Recognizes and resolves problems.

• Integrates information and may run routine queries to generate or produce reports.

• May assign, coordinate and review the work of other clerical personnel for conformance to established guidelines.

• Composes correspondence in response to routine inquiries without instruction or review.

Knowledge, Skills, and Abilities

• Knowledge of office routines and functions sufficient to refer visitors and telephone calls and to route correspondence by name and functional area.

• Knowledge of institutional and unit policies, processes and forms.

• Knowledge of proper format, grammar, spelling, punctuation and capitalization.

• Skill in utilizing computer software packages and online systems.

• Skill in operating office equipment.

• Ability to communicate effectively with staff, students, and the public.

• Ability to follow oral and written instructions and apply institutional and other policies accurately.

• Ability to gather, evaluate, and display data in appropriate format and keep accurate records.
