The role you’ll contribute:

The Space Management Specialist will assist the Manager of Campus Space Planning to oversee planning, design and construction projects related to alterations, renovations, furniture reconfigurations, relocations and other various campus initiatives.

The role of the Space Management Specialist will be to manage and coordinate projects, both independently as well as with a team, move/add/changes, complete day-to-day tasks involved in planning and implementing projects, coordinate with internal departments, vendors, and subcontractors. The Space Management Specialist will manage the CAFM software which assists space management and relocations.

The value you’ll bring to the team:

· Responsible for managing & maintaining the CAFM/Space Management Software, ensuring space validation and updating of occupancy metrics & prepare the drawings for integration.

· Creates reports, charts, graphs, and other illustrative materials to convey space usage & opportunities.

· Conducts weekly space audits to ensure plans are constantly accurate and update as necessary.

· Assist the Manager of Campus Space Planning on multiple projects, including the coordination of space planning and move execution.

· Schedules and interacts with vendors and trades for reconfigurations and construction projects.

· Develop and implement relocation plans, project timelines, milestones, and schedules for all department moves.

· Assists with project budgets as well as process Requisitions/Purchase Orders for all projects.

· Responsible for all interior signage for workspaces.

· Review and process space requests and assignments and provides recommendations to Manager of Campus Space Planning.

· Coordinate scheduling of meetings, agendas, and minutes for projects

· Process Requisitions/Purchase Orders for all projects.

· Perform other duties assigned by the Manager of Campus Space Planning in an orderly and efficient manner.

· Provide on-site move supervision for move relocations and furniture installations.

· Fill in for Manager of Campus Space Planning by managing daily operations in absence.

· Ability to work outside of regular business hours, nights and weekends, depending on project timeline and requirements.

· Computer savvy and quick to learn new programs.

KNOWLEDGE AND EXPERIENCE PREFERRED:

· Proficient with AutoCAD

· Demonstrated knowledge and experience working on a headquarters campus.

EDUCATION AND EXPERIENCE REQUIRED:

· Bachelor’s Degree in business, project management, interior design, facilities planning or 4 years of related experience/field.

· Experience facility planning, space management, furniture specifications, interior design.

SUPERVISORY RESPONSIBILITIES

Reports to the Manager of Campus Space Planning. Responsible for managing relationships with internal customers, vendors and suppliers.
