FirstService Residential Office Coordinator in Altamonte Springs, Florida

Job Overview:

As anOffice Coordinator, this positionrequires a strong background in office operations,computersskills and customer service, and will providestrong supportto the Operations Manager andpropertymanagement team.

Your Responsibilities:

  • Receive and direct incoming calls for the Maitland Regional Office.

  • Greet visitors and clients upon their arrival.

  • Receive, sort and distribute all incoming mail on adailybasis.

  • Process all outgoing mail on a daily basis.

  • Process all incoming packages and prepare outgoing packages, including weekly courier deliveries.

  • Maintain record of all outgoing and incoming courier packages.

  • Scanning andupload ofvarious documents.

  • Order office supplies.

  • Order associates supplies including business cards, name tags,uniformsand ID badges.

  • Schedule andmaintaincalendar for conference calls and meetings.

  • Maintain professional appearance in all officecommon areasincluding but not limited to reception area, conference rooms,copiesand postagework stations, hallways and break room.

  • Build andmaintainworkingrelationshipwith office and field associates.

  • SupportOperations Manager inmaintainingall office operations andassistingwithpreparationof meetings and events, working with IT to coordinateupdates, upgrades, repairs, etc.,coordinatingoffice repairs and maintenance, compliance tracking, and propertytransitions

Skills & Qualifications:

  • High school diploma or equivalencyrequired.

  • Requires a minimum of two (2) years of general administrative experience.

  • Effective written and verbal communication skills.

  • Strongcustomer service skills.

  • Interpersonal skills.

  • Strong attention to detail.

  • Proficiencyin Microsoft applications.

  • Ability to multi-task.

  • Ability to work earlier or later than scheduled shift from time to timein order toassistin the preparation of a meeting, event or toassistin the completion of a project.

Physical Requirements:

  • Physical demands includeabilitytolift upto 50 lbs.

  • Standing, sitting, walking and occasional climbing.

  • Required to work at a personal computer for extended periods of time.

  • Talking on the phone for extended periods of time.

  • Ability to detect auditory and/or visual emergency alarms.

  • Ability to work extended/flexible hours, weekend, and attend Board meetings asrequired.

  • Driving when necessary.

Supervisory Responsibilities

  • No supervisory responsibilities

  • Schedule: Monday through Friday, 8:30am-5:00pm

Compensation: $19.00 -$21.00per hour
