What is it that we do at Colonial Pipeline Company?

Colonial Pipeline is the largest refined products pipeline in the United States, transporting more than 100 million gallons or 2.5 million barrels per day. Colonial transports various grades of gasoline, diesel fuel, home heating oil, jet fuel, and fuels for the U.S. military through a pipeline system. Colonial transports approximately 45 percent of all fuel consumed on the East Coast, providing refined products to more than 50 million Americans.

About the Records Specialist Position

As a Records Specialist, you will assist in the collection, proper routing, and storage of asset records as submitted by field and project personnel via field data collection applications, electronic data submission, or physical record delivery. The Records Specialist ensures that all collected asset data is well organized, clearly communicated, and properly integrated within the Colonial enterprise data management platform. You will assist subject matter experts in the development and implementation of changes to processes, specifications, and standard operating procedures for asset data collection, distribution, and reporting throughout the Colonial organization. This position ensures that data collection, distribution, and reporting activities are conducted in a timely, accurate manner consistent with the needs of internal managers, engineers, and analysts to inform good decision-making. The Record Specialist ensures compliance with applicable company policies and regulatory requirements.

What You Get to Do:

  • Provide oversight and collaborate with stakeholders and cross-functional teams as appropriate. Distribute data to internal customers to support compliance requirements and data-informed decision-making.

  • Ensure that all manuals, policies, and procedures are consistent in format, register, and tense, and ensure these documents’ content is clearly communicated and easily understood.

  • Organize and retain historical records including as-built and project records, pipe inspections, hydrotest records, change diagrams, etc.

  • Facilitate the organization and delivery of field data and as-built from Colonial’s field personnel for activities. These include (but are not limited to) inspections, maintenance activity, construction, integrity assessments, and investigations.

  • Schedule meetings as necessary and coordinate appropriate meeting logistics (prepare schedules, ensure meeting space needs are available, ensure meeting materials are appropriately communicated, and that meeting products are properly documented and distributed).

What You Bring to the Table:

  • High School Diploma or General Education Diploma; will consider a combination of experience and/or education.

  • Ideally, 2+ years of experience of recording keeping and retention.

  • Basic data management skills and advanced organizational skills.

  • Clear, concise, and professional interpersonal communication and technical writing skills.

  • Basic understanding of pipeline or industrial data and its implications to the organization.

  • Solid communication skills and the ability to provide phone support to internal points of contact.

  • Commitment to consistently adhere to policies and procedures and be a positive example for others by demonstrating the Company’s core values of Respect, Accountability, Innovation, Safety, and Excellence in completing work assignments.

  • Self-motivated, have a phenomenal work ethic and looking for the right company to support your growth.
