CenterLight Health System ADMINISTRATIVE ASSISTANT - LEARNING CENTER in Allerton, New York

JOB PURPOSE:

The Administrative Assistant – Learning Center will provide administrative support to ensure the efficient operation of educational programs and activities within the department. This role requires excellent communication skills, strong organizational abilities, and the capacity to manage multiple tasks simultaneously.

JOB RESPONSIBILITIES:

  • Assist in the coordination and scheduling of educational programs, workshops, and training sessions.

  • Manage calendar appointments, including scheduling meetings, arranging venues, and coordinating with participants.

  • Prepare and distribute educational materials, presentations, and handouts as needed.

  • Maintain accurate records of attendance, evaluations, and other relevant documentation for educational events.

  • Serve as the primary point of contact for inquiries related to educational programs and activities.

  • Coordinate with internal departments and external stakeholders to ensure the smooth execution of educational initiatives.

  • Assist in the creation and distribution of marketing materials to promote educational programs and attract participants.

  • Provide administrative support to departmental staff, including drafting correspondence, filing documents, and managing office supplies.

  • Assist in budget tracking and expense reconciliation for educational activities.

  • Perform other duties and responsibilities as assigned by the Education Center Department leadership and the Vice President of Quality.

Schedule: 8:30AM – 5:30PM

Weekly Hours: 40

QUALIFICATIONS:

Education: Bachelor’s degree in business, healthcare administration, or equivalent years of experience.

Experience:

  • Two (2) years of experience in a healthcare setting preferable.

  • Proven experience in an administrative support role, preferably within a healthcare or educational setting.

Additional Requirements:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.

  • Strong attention to detail and accuracy in data management and record-keeping.

  • Excellent verbal and written communication skills, with the ability to interact professionally with staff, faculty, and external stakeholders.

  • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.

  • Flexibility to adapt to changing priorities and deadlines.

  • Knowledge of healthcare education and training programs is a plus.

Physical Requirements

Individuals must be able to sustain certain physical requirements essential to the job. This includes, but is not limited to:

  • Standing – Duration of up to 6 hours a day.

  • Sitting/Stationary positions – Sedentary position in duration of up to 6-8 hours a day for consecutive hours/periods.

  • Lifting/Push/Pull – Up to 50 pounds of equipment, baggage, supplies, and other items used in the scope of the job using OSHA guidelines, etc.

  • Bending/Squatting – Have to be able to safely bend or squat to perform the essential functions under the scope of the job.

  • Stairs/Steps/Walking/Climbing – Must be able to safely maneuver stairs, climb up/down, and walk to access work areas.

  • Agility/Fine Motor Skills - Must demonstrate agility and fine motor skills to operate and activate equipment, devices, instruments, and tools to complete essential job functions (ie. typing, use of supplies, equipment, etc.)

  • Sight/Visual Requirements – Must be able to visually read documentation, papers, orders, signs, etc., and type/write documentation, etc. with accuracy.

  • Audio Hearing and Motor Skills (language) Requirements – Must be able to listen attentively and document information from patients, community members, co-workers, clients, providers, etc., and intake information through audio processing with accuracy. In addition, they must be able to speak comfortably and clearly with language motor skills for customers to understand the individual.

  • Cognitive Ability – Must be able to demonstrate good decision-making, reasonableness, cognitive ability, rational processing, and analysis to satisfy essential functions of the job.

Salary Range (Min-Max):$50,000.00 - $55,000.00
