Otter Co-Op Office Associate - FT (Langley) in Aldergrove, British Columbia

Otter Co-op is now hiring a Full-Time Office Associate for our ACU Administrative Building located in Langley, BC. 

This Office Associate position will be primarily focused on Accounts Payable.  They will be responsible for accurately processing invoices, reconciling vendor statements, and ensuring timely payments to vendors. The ideal candidate will have a strong understanding of accounting principles, excellent communication, and the ability to work efficiently in a fast-paced environment.

What you’ll do:

  • Provide comprehensive administrative support to the Accounting department, including managing filing systems, ordering office supplies, and maintaining organized records.

  • Serve as a liaison between the Accounts Payable and Credit departments, facilitating smooth communication and workflow.

  • Assist senior office associates with vendor inquiries, ensuring efficient approval processes, and processing invoices accurately and on time.

  • Respond promptly and professionally to all vendor and member inquiries, maintaining positive relationships and resolving issues effectively.

  • Prepare and process department invoices for Accounts Payable, ensuring accuracy and timely submission.

  • Record and track daily deposits from member accounts, ensuring all transactions are accurately logged and reconciled.

  • Review and match invoices to purchase orders, proactively following up on any discrepancies to ensure prompt resolution.

  • Input journal entries for daily sales transactions, ensuring accuracy and compliance with accounting standards.

  • Assist in preparing detailed financial reports and analysis for the Finance department to support decision-making and strategic planning.

  • Actively contribute to the team's commitment to the corporate values of Integrity, Community, and Excellence.

  • Perform additional duties as assigned to support the overall function and efficiency of the department.

    Who you are:

    You are looking for a career in Administration and:

  • Experience in a high volume, fast paced office environment preferred

  • Previous retail/customer service experience an asset

  • Entry level bookkeeping and accounting skills

  • Intermediate computer skills (including MS office, Word, Excel & Outlook)

  • Proficient accurate typing and data entry skills

  • Excellent communication and interpersonal skills (written and verbal)

  • Above average attention to detail and accuracy

  • Self-starter and team player with a high level of self-discipline and initiative

  • Creative and effective problem-solving ability

  • Positive attitude with a commitment to providing outstanding customer service

  • Able to prioritize and organize position responsibilities and meet deadlines with minimal supervision

  • Must be committed to a SAFE working environment

  • Able to perform physical duties including lifting, pushing and pulling up to 25-50 lbs

  • Must be available for an 8 hour shift Monday to Friday between the hours of 7:30am to 5:00pm

  • This position is based out of ACU Administration Building, though it may require on some occasions to travel and work at other locations as business needs arise
