University at Albany Assistant to the Dean for Finance and Administration (Temporary) in Albany, New York

The School of Social Welfare is seeking a temporary Assistant to the Dean for Finance & Administration for a 6-month appointment. This position, reporting to the Dean, performs essential duties to support the financial and administrative needs of the college including budget creation and maintenance, record keeping and retention, and personnel processing. Duties include:

Finance:

  • Participate in the School's financial, personnel, and resource planning activities involving key School decisions

  • Develop, implement, and monitor all budget and expenditure requests and review the reconciliation of expenses for accuracy against appropriate funds

  • Provide financial and administrative support and recommendations to the Dean, Associate Dean for Academic Programs, Associate Dean for Research, Director of Field Education, academic program directors (PhD, MSW, Undergraduate), Community and Public Service Program, Continuing Education Program

  • Create and assist with unit budget and spending plan creation

  • Establish and monitor reports for expenses and resources

  • Monitor and analyze all fiscal account activity including state, UAlbany Foundation, and Research Foundation. Deliver analysis of all accounts at regular intervals. Notify the appropriate office regarding any discrepancies in expenses

  • Prepare and analyze budgets for State, IFR, and Research Foundation

  • Assist faculty with preparing budgets for grant proposals and monitoring their awards

  • Troubleshoot for faculty regarding Research Foundation and UAlbany Foundation questions about allowable expenses on their projects

  • Coordinate and monitor progress on all MOU's and Revenue contracts through the UAlbany offices; ensure that billing is current

  • Coordinate and manage purchasing activity

Personnel:

  • Manage all human resource functions within the School

  • Prepare and submit position requests at the direction of the Dean

  • Prepare paperwork for new hires, adjuncts, student appointments, summer appointments, extra service and stipends, faculty renewals, promotion and termination (State and RF)

  • Provide administrative support and guidance to SSW search committees for faculty and staff positions

  • Review performance programs and evaluative criteria to ensure equity and consistency in standards

Administration and Compliance:

  • Triage and oversee administrative requests that come to the Dean's office

  • Manage and coordinate with Physical Facilities office moves, refurbishing of rooms, and special projects related to space on the downtown campus

  • Act as point person for legal with regards to foreign national hires, FOIL requests

  • Respond to OEM and Facilities audits

    Job Requirements:

Minimum Qualifications:

  • Bachelor's degree from a college or university accredited by a US Department of Education (DOE) or internationally recognized accrediting organization.

  • Minimum of 3 years of experience related to fiscal and/or administrative operations in a higher education-related environment.

  • Knowledge of administrative processes in a higher education environment with the ability to independently deal with financial and human resource matters.

  • Applicants must address in their applications their ability to work with culturally diverse populations.

  • Ability to handle multiple tasks simultaneously, prioritize, and complete assignments accurately and in a timely fashion.

Preferred Qualifications:

  • Master's degree in finance, business, or related field from a college or university accredited by a US Department of Education (DOE) or internationally recognized accrediting organization.
