Under the Direction of the Principle Investigator, the role of the Administrative Manager is to organize and coordinate office administrative procedures for two Technical Assistance Partnership (TAP) projects and the MTSS-I Center in order to ensure organizational effectiveness, and efficiency. The Manager will provide administrative, financial, and operational support necessary to successfully execute the activities of the TAPs and the Center. The Technical Assistance Partnerships (TAP) for Behavior and Academics at the School of Education, University at Albany, provides support to school districts and schools in their efforts to improve outcomes for all students, especially those with disabilities, throughout New York State. The partnership provides professional development and technical assistance to all members of the Office of Special Education (OSE) Educational Partnership, which includes content specialist in 16 Regional Partnership Center; 16 Early Childhood Family and Community Engagement Centers; and 16 School-age Family and Community Engagement Centers.

Primary Responsibilities:

  • Ensure office financial objectives are met by tracking and documenting expenditures.

  • Analyze any needed variances and carry out necessary corrections that may arise.

  • Prepare personnel paperwork and procure supplies, equipment, and technology.

  • Establish, maintain, and monitor procedures for record keeping and files.

  • Attend internal and external project meetings to record and store minutes.

  • Ensure security, integrity and confidentiality of data.

  • Establish internal mechanisms to track grant expenses.

  • Troubleshoot and resolve financial problems.

  • Reconcile and prepare budgets.

  • Design, implement, and oversee adherence to office policies and procedures.

  • Coordinate all aspects of travel for all TAP and Center faculty and staff and help them navigate travel guidelines and procedures.

  • Prepare all project developed materials for 508 compliance.

  • Coordinate schedules, calendars and appointments.

    Job Requirements:

Minimum Qualifications:

  • Bachelor's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized accrediting institution.

  • Five years of office management, administrative or assistant experience.

  • Experience in accounting, data, and administrative management practices and procedures.

  • Experience in human resources management practices and procedures.

  • Knowledge of business and management principles.

  • Knowledge of office management responsibilities, systems and procedures.

  • Excellent time management skills and ability to multi-task and prioritize work.

  • Attention to detail and problem solving skills.

  • Ability to work with a culturally diverse population.

  • Excellent written and verbal communication skills.

  • Strong organizational and planning skills.

  • Strong computer skills and knowledge of Microsoft Office.

  • Ability to travel between campuses.

Preferred Qualifications:

  • Two or more years of administrative experience in a higher education setting.

  • Knowledge of Business Intelligence (or academic enterprise systems).

    Additional Information:

Professional Rank and Salary Range: Administrative Manager, SL3; $55,000-57,000.
