UNIVERSAL Technologies is seeking an Administrative Assistant for a hybrid role based in Guilderland/Albany, NY. Candidates with experience in recruiting agencies are preferred. Position: The Administrative Assistant will provide critical support to the operations and recruitment teams within our IT consulting firm. Responsibilities include resume formatting, scheduling interviews, posting job opportunities, and providing administrative assistance to ensure smooth day-to-day operations. The ideal candidate will have strong organizational skills, experience with administrative tasks, and proficiency in Adobe, Microsoft Word, Excel, and other office tools.     SCOPE OF SERVICES: As an Administrative Assistant, your responsibilities include:

  • Formatting resumes for candidates to meet client and internal standards.

  • Posting new job opportunities on the company website and external job boards.

  • Scheduling interviews and coordinating calendars with hiring managers and recruiters.

  • Assisting in the preparation and organization of recruitment documents and files.

  • Updating and maintaining accurate records within internal systems and databases.

  • Providing general administrative support to the operations and recruitment teams.

  • Creating and editing documents using Adobe, Microsoft Word, and Excel.

  • Assisting in the review and proofreading of job postings and documentation.

  • Maintaining confidentiality and professionalism in handling sensitive information.

  • Supporting additional office and recruitment-related tasks as needed.

    MANDATORY SKILLS/EXPERIENCE: Note: Candidates who do not have the mandatory skills will not be considered.

  • A minimum of 2-3 years of administrative assistant experience.

  • Proficiency in Adobe (PDF editing and formatting).

  • Advanced skills in Microsoft Word and Excel.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to prioritize tasks and manage multiple projects simultaneously.

    DESIRABLE SKILLS/EXPERIENCE:

  • Experience working for a recruitment or staffing agency.

  • Familiarity with posting roles on job boards (LinkedIn, Indeed, etc.).

  • Ability to use Applicant Tracking Systems (ATS) for maintaining and organizing candidate data.

  • Strong scheduling and calendar management skills.

  • Experience in an IT consulting environment.

  • Team-oriented with the ability to work independently with minimal supervision.
