Essential Job Duties:

The purpose of this position includes but is not limited to:

  • Facilitate approval of expenditures from the budget in conjunction with Area Chair. Submit requests

for reimbursement and payment using multiple electronic systems, including Concur; (travel); and the P-Card reconciliation system. Completes and submits independent contractor forms for approval.

  • Monitor balances to ensure budget and line items are within limits. Track expenses including travel, books, journal expenses, and other administrative costs. Prepare, submit and track travel authorizations and reimbursement forms, as well as expense reports for the Area chair and faculty.

  • Coordinate with Area Chair to ensure appropriate faculty coverage for course demands and provide matrix to the office of the Dean. Ensure accurate publications of course schedules. Facilitate schedule changes and communicate changes to faculty and program directors. Ensure adequate

facilities are available and reserved for all teaching and meeting functions.

  • Coordinate details including selection of caterers, florists, room reservations, printing of materials, and availability of audio-visual equipment. Identify and select vendors and arrangements for lodging, meals, transportation, parking, printing, distributions of materials and mailing. Communicate and negotiate with outside speakers and attendees regarding expectations and program content.

  • Responsible for scheduling interviews, and arranging travel, lodging and seminars. Maintains information on interview outcomes; generates reports for selection committee summarizing interview and selection data and maintains report of prospects and their credentials. Manages communication between candidates and School/Search committee.

  • Each area typically hires between 1-12 student graders during the academic year. Graders work for a differing period of time, ranging from a few months to a year and each may receive different compensation, depending on level of responsibility and duties. The Area Assistant is responsible

for: coordinating with the Kenan Flagler HR Office to arrange hiring; confirming and approving hours worked in TIM ; reporting hours work and reconcile with monthly reports.

  • The Area Assistant serves as the “point of contact” for domestic and international visitors. This includes coordinating with Kenan-Flagler Human Resources to provide information needed for visas and advising the visitor about housing and other local needs.

  • Compiles reports for the faculty

  • Manages correspondence

  • Schedules meetings

  • Updates CV’s

  • Assists with drafting/editing articles

  • creates/edits presentations

  • Update and maintain home page, faculty biographies, course descriptions, concentration description, and links to other internal and external sites

  • Additional duties as assigned.

Required Qualifications:

The Area Assistant must be capable of operating successfully in a highly varied and dynamic work environment,

where multi-tasking is not only important, but required. Additionally, this person must be well-versed in the latest

software tools to undertake their support functions, capable of editing large research papers, producing graphs and

tables, and coordinating the communication of large research projects (data and text) between scholars both within

UNC -CH and externally. The Area Assistant should have experience with word processing, spreadsheets, database

and web-authoring applications and must be capable of editing large research papers, producing graphs and tables,

Candidates MUST possess:

-at least one year of Concur experience

-experience in calendaring & expense reimbursements in an academia background

-fluent in Microsoft Suite
